International Justice Mission (IJM) is a fast growing international organization working to protect some of the most vulnerable and oppressed people from violent forces of injustice by securing rescue and restoration for victims and ensuring public justice systems work for the poor.  IJM is seeking a talented Administrative Assistant who is passionate about IJM mission and desirous of using his/her administrative skills and experience to assist the Field Office and its staff.

This position is based in Accra, Ghana and reports to the Director of Administration of IJM Ghana.

Responsibilities

Administrative Support

  • Support the implementation of human resource processes and policies;
  • Execute employee database updates and filing;
  • Track and maintain HR statistics, employee lists and reporting information;
  • Process reference and verification of employment requests;
  • Provide support to the Field Office Director;
  • Keep and run petty cash for the office;
  • Prepare expense reports for various vendors;
  • Coordinate team activities, meetings and retreats;
  • Manage office supply inventory, orders and distribution;
  • Maintain and monitor schedule of office repairs, installations, and other services; and
  • Coordinate obtaining and maintaining visas and work permits for expat staff.

Serve as Primary Point of Contact

  • Receive and direct all incoming phone calls to appropriate staff;
  • Respond to inquiries and requests in the IJM general e-mail account;
  • Welcome guests to the office with a friendly, warm, and hospitable demeanor; and
  • Create, organize and maintain master office contact database.

Required Skills and Experience

  • Bachelor’s degree from an accredited university;
  • 3 -4 years’ experience providing administrative/human resource support in a fast-paced, professional environment;
  • Strong working knowledge of Microsoft Word, Excel, PowerPoint, Outlook and SharePoint;
  • Superior administration skills, with proven ability to manage multiple tasks simultaneously;
  • Exceptional written and oral communications skills; and
  • Demonstrated ability to develop effective working relationships.

Critical Qualities

  • Mature orthodox Christian faith as defined by the Apostles’ Creed;
  • Highly organized and extremely detail oriented;
  • Poised, confident demeanor with patience and calm resolve during high-pressure situations;
  • Personable;
  • Strong ethic of service;
  • Sustained positive attitude; and
  • Creative, innovative and resourceful; adept at creative problem solving.

International Justice Mission (IJM) is an international, non-governmental 501(c)(3) tax-exempt, nonprofit, evangelical organization focused on human rights, laws and law enforcement. It is currently the world's largest anti-slavery organization.
