Background

The schedule type of the position is part-time basis (50%).

Under the guidance and supervision of the Innovation for Development portfolio officer, the Administrative Assistant will provide reliable Administrative services.

Duties and Responsibilities

  • Collects information from records and reports and prepares periodic and ad hoc reports on project activities.
  • Organizes data and information, prepares and maintains records, documents and control plans for the monitoring of project implementation.
  • Contributes to the preparation of TORs and submissions to contracts, preparing tables and drafting relatively routine sections.
  • Scrutinizes plans of operations, exchanges of letters and takes appropriate follow-up action.
  • Assists in the administrative process of programme requests for assistance.
  • Arranges for and assists in preparing the meeting and conferences’ activities.
  • Performs other duties, as required.

Project administration experience and skills, and general understanding of theories, concepts and approaches relevant to Innovation for Development. Good analytical and problem solving skills, including ability to identify and contribute to the solution of problems/issues.

Development and Operational Effectiveness

  • Thorough knowledge of UNDP programme management and operations control with skills for handling detailed assignments of a semi-professional nature.
  • Good knowledge of Windows-based software applications.
  • Knowledge of existing computerized financial software applications desirable.
  • Ability to work effectively and harmoniously in an international multicultural environment.
  • Self-management & emotional intelligence.
  • Working in teams.

Required Skills and Experience

Education

  • Secondary education is required.
  • Bachelor’s degree is preferable.

Experience

  • At least 1 year of relevant experience in administration is required at the national or international level.
  • Experience in the usage of computers and office software packages (MS Word, Excel etc.).

Language

  • Fluency in English, native Arabic language.

UNDP role in UN coordination

UN coordination is a key priority for UNDP and a commitment in our Strategic Plan. The UNDP Administrator is the Chair of the UN Development Group (UNDG), which unites the funds, programmes, specialized agencies, departments and offices of the UN system that play a role in development. Created by former UN Secretary-General Kofi Annan and endorsed by the General Assembly, the UNDG seeks to ‘facilitate joint policy formulation, encourage programmatic collaboration and realize management efficiencies’ among UN agencies.

At the country level, this interagency structure is embedded in the Resident Coordinator System (RCS), which encompasses all organizations of the United Nations system with operational activities for development. The RCS is managed by UNDP on behalf of the entire system. The Resident Coordinator function is carried by the UNDP Resident Representative. As the designated representative of the Secretary-General, the Resident Coordinator is the leader of the UN Country Team (UNCT) and plays a central role in coordinating the UN’s development operations and ensuring alignment with national priorities. UNDP provides the lion’s share of the resources needed to maintain the RC system in over 130 countries. The remainder of the RCS funding comes from a cost-sharing arrangement between all participating agencies.

UNDP also administers the UN Capital Development Fund, which helps developing countries grow their economies by supplementing existing sources of capital assistance by means of grants and loans; and UN Volunteers, which fields over 6,000 volunteers from 160 countries in support of peace and development through volunteerism worldwide.
