MalariaCare, a five-year partnership led by PATH and funded by the US Agency for International Development (USAID) under the US President’s Malaria Initiative (PMI), aims to scale up high-quality diagnosis and case management services for malaria and other febrile illnesses. MalariaCare is a partnership between PATH, Medical Care Development International (MCDI), Population Services International, and Save the Children (SC US). The partnership works in PMI focus and other countries in Africa and the Mekong Region to reduce the burden of serious febrile illnesses and promote healthy communities and families.

PATH in Malawi seeks an Administrative Assistant/Secretary to provide administrative support to the country office team. This position reports to PATH’s Finance and Administrative Officer.

 

 Specific responsibilities include:

 

  • Answering phone and email inquiries about PATH and the MalariaCare program
  • Provide support to ensure smooth daily operations in the areas of, administration, procurement, asset management, logistics, travel, tickets, and hotel reservations.
  • Organize and schedule meetings, appointments interviews, project training activities, workshops, and maintain minutes of meetings
  • Maintain office inventory log and ensure that it is properly updated in accordance with their tag numbers and location and ensuring adequate stock of office supplies.
  • Assist with office and administrative tasks such as photocopying, assisting vendors, scanning and ensuring that equipment are regularly and properly serviced.
  • Ensure that all staff have prepared their timesheet and they have been submitted and properly filed.
  • Work with Logistical Coordinator to maintain office files for the program, ensuring confidentiality of all documents.
  • Ensure office cleanliness by working closely with office cleaner

Required Skills

  • Degree in Business Management and a minimum of advanced diploma in Business Administration or Secretarial Studies.
  • Minimum of 3 years work experience as Administrative Assistant in a donor funded project.
  • Must have good organizational skills, administration, and analytical skills
  • Be proficient in Microsoft office (word and excel as well as supply management/inventory control
  • Have good interpersonal skills and able to communicate at all levels in both oral and written communication.
  • Be a team player, highly disciplined, discrete, trustworthy and able to work under pressure with minimum supervision.
  • Must have legal authorization to work in Malawi.
