- Introduction
World Animal Protection is looking to enter a partnership or contract with a media and events agency to manage two upcoming monthly events; a monthly animal welfare roundtable and a monthly tweeter Conference. The media and events agency will organize the monthly animal welfare roundtables as well as monthly tweet chat conference.
About the Monthly Roundtables Series
Every Thursday in the last week of every month, starting April 2017, World Animal Protection together with her partners will organize a 2-hour monthly roundtable on Animal Welfare. The roundtables will bring together animal welfare practitioners, academicians, vet professionals, animal welfare groups and the public to debate and deliberate issues about animal welfare. The overall objective of this activity is to initiate, leverage and maintain a healthy discourse on animal welfare. Internally, the Monthly Roundtables on Animal Welfare will leverage World Animal Protection as a key player in the animal welfare terrain.
1.1 Objectives of the Animal Welfare Roundtables
- Initiate and stimulate debates about animal welfare, exploring real-life opportunities and experiences that can contribute to bringing lasting change and improved welfare practices and standards to millions of animals across Africa.
- Rally support for Animal welfare issues across different groups of people, governments and related stakeholders.
iii. Create a movement of people and the public who will champion animal welfare issues and propel change from the community to the policy level
- Share information, educate and replicate for future use.
2.1 Organization of the Roundtables on Animal Welfare
Every session will have a key note speaker; a professional with a good grasp of the topic of the day. The topics of discussion will reflect on a topical issue of the day. The presenter will give a talk about the topic of the day and facilitate subsequent contributions and discussions involving participants in attendance and possibility online via social media etc.
3.1 Purpose of work
The selected firm will spearhead media and events management activities for the two events.
3.1.1 Develop and implement a media strategy for the two events
- Develop a clear media plan with clear activities and related outlets.
- Ensure that the event is well covered and represented in the media.
iii. Follow up on publishing and feedback
- Maintain a vibrant list of media attendees
- Keep the media engaged, vibrant and alert to take on animal welfare related issues
- Track and monitor media mentions on animal welfare
vii. Liaise with World Animal Protection to maintain the database and ensure consistent flow of activities.
3.1.2 Development of related info materials
- Design and develop creative materials, Hash Tags, Creative Titles and topics for the two events
- Design and development of invitation cards and related infographics per topic.
iii. Send out the invitation cards to relevant stakeholders
3.1.3 Media Buying
- Liaise directly with the mainstream newspapers to put the ads in the newspapers
- Liaise directly with online media and magazines to promote the monthly roundtables
iii. Liaise with social media teams to promote the events online
- Buy space to promote the Tweeter Conference and the newspapers online
3.1.4 Capacity Building and Development of Journalist for Animal Welfare Network
- Ensure full operationalization of Journalists for Animal Welfare Network
- Identify skills gap for capacity building in animal welfare
iii. Develop and build themes and areas for intervention
- Actively run the E- Newsletter as a repository for animal welfare stories
3.1.5 Events Organization
- Work with World Animal Protection to identify suitable venues for the two events
- Liaise with relevant venue/hotel suppliers to ensure that the meeting requisites for instance Public Address System, Lighting, meals. Décor and flowers and sitting space is availed as agreed and to the best of ideals for these meetings.
iii. Provide related services i.e. photography and video during the conference
- Register the participants using the prescribed registration form.
3.1.6 Public Mobilization
- Identify the most suitable method of inviting the public to the event while ensuring that we have the right mix and in the confines of the target numbers.
- Pre-screen services the participants to ensure that they meet the set criteria.
iii. Contact the would-be participants through emails and phone calls.
- 1 Duration
The duration for this assignment is 10 months on a rolling basis. The contract working days is measured in working hours per month. In total, we will have Eight Monthly Roundtables on Animal Welfare and Eight Tweeter Conferences in Eight Months starting April 2017.

- Creative brief of the required info materials
iii. Media plan for the two events including the media buying plan.
- Well executed events that delivers on our objectives
- A well- formed Journalists for Animal Welfare complete with an operational plans and membership
6.1 Submission
In response to these Terms of Reference the Consultant is required to submit the following documents:
- A detailed portfolio showcasing the past work and various and published work.
- A technical bid (not more pages) detailing interpretation of the TOR and execution of assignment and relevant referees with their contacts.
III. A work plan
- A financial bid detailing the overall cost of the assignment.
Intellectual Property Rights The product of this consultancy is World Animal Protection property. Under no circumstances will the consultant use the information resulting from this consultancy for publication or dissemination without official permission (in writing) from World Animal Protection.
