The Malawi Human Resource officer will assist the HR Manager with generalist HR matters including providing coaching and guidance on HR related business matters, employee relations’ issues, workforce planning, recruitment, HR policy and procedure interpretation and employment law practices. This position reports to the HR Manager
Description of Tasks/ Key Performance Areas
- Support the HR Manager to implement the human resources activities as per the Country Office Work Plan
- Support the HR Manager to partner with the business on work force planning
- Support the HR Manager to ensure that the HR activities in the country strategy are implemented and all day to day services needs are met.
- Together with the HR Manager assist with the change initiatives, employee engagement and/or team building initiatives
HR compliance 5%
- Provide support to the HR Manager to implement smart and effective HR processes in country.
- Together with the HR Manager ensure that policies and guidelines are kept up to date, employee awareness raised and that local employment laws are interpreted correctly aligned to the relevant legislation and m2m’s best practices.
- Ensure that data integrity in maintained on all employee files or administrative documents
- Provide support to the HR Manager to manage all disciplinary process in a timely manner so as to limit risk to the business.
- Provide support to the HR Manager to ensure compliance to employment practices at m2m.
Recruitment 5%
- Support the HR Manager to manage the in country recruitment process in a timely and strategic manner.
- Support the HR Manager with the orientation workshops
Talent and Performance management 10%
- Support the HR Manager to implement he m2m learning and development strategy in country.
- In close partnership with the Talent management and reward BP to monitor and implement the performance management process, liaise with line management to develop and implement performance contracts.
- Support and guide management to create job descriptions and have all jobs evaluated as per the m2m job evaluation process, as well as sit on the JE committee for your countries jobs.
Remuneration 10%
- In close partnership with the Reward specialist coach line managers on effectively implementing the m2m remuneration strategy Implement and manage in country benefits aligned with the contractual terms and conditions.
- Implement and manage monthly employee information changes/updates for payroll on time and in an accurate and compliant manner.
Wellness management 10%
- Support the HR Manager, implement and develop the country wellness strategy as aligned to the organisational wellness plan
Systems 30%
- Utilise HR services across HR channels (HR premier, ESS, Silver Soft) to guarantee data integrity.
- Ensure m2m electronic leave management system (ESS) is accurate and up to date with site staff leave
- Assist m2m Malawi staff with leave and timesheet queries
- Enter and manage data into the HR electronic databases/ systems for maintaining accurate records updated records including employment contracts dates and terminations
Payroll/ General Administration 30%
- Support managers and own all aspects of the full employee life cycle
- Drive or support HR related projects in country aligned to Head office initiatives
- Upload all payroll information in premier VIP HR monthly
- Printing payslips and issuing payslips to employees
- Provide administration support in managing the pension fund, life insurance and medical aid.
- Perform any other HR general duties as assigned.
Job Requirements
Qualifications and Experience:
- Diploma in HRM/ B-degree is advantageous, preferably in Human Resources Management or a related field.
- At least 3 – 4 years’ experience as a human resources generalist, preferably 2 years’ experience in an NGO environment.

- Knowledge and experience in Recruitment, Performance Management processes and methodologies
- Influencing skills and interfacing with senior members of the business
- Well-developed presentation, facilitation and decision making skills
- Employee relations, change management and team development experience
- A fair understanding of employee benefits and reward management
- A solid understanding of labour law and an ability to undertake legal matters
- Ability to diagnose problems and identify and drive appropriate solutions
- Fluency in English and Chichewa
