The World Food Programme (WFP) is the world’s largest humanitarian agency fighting hunger worldwide.  We are seeking to fill the position of Intern – HIRS in support of the Regional Bureau office, based in Nairobi, Kenya. The Regional Bureau provides strategic guidance, policy/technical support and direction to WFP operations and activities in nine countries: Burundi, Djibouti, Ethiopia, Eritrea, Kenya, Rwanda, Somalia, South Sudan and Uganda.

Key Accountabilities (not all-inclusive, within delegated authority): Working in the HR Unit, under the direct supervision of the HR Officer, the Intern – HIRS Analyst will be responsible for the following duties:

  • Assists with overall administrative functions for all modules of HR Systems (Payroll, Benefits, Appointments, Separations, Compliance, HR data etc.);
  • Monitor contract expiry dates in the system and take appropriate actions;
  • Help maintain data integrity in systems by running queries, analyzing data and initiate corrective actions when necessary;
  • Review Personnel Action Forms (PAF) and other Service Requests to ensure proper data entry functions;
  • Compile and maintain payroll data, reconcile errors and update payroll information by collecting, calculating, and entering relevant data including overtime;
  • Post job opportunities to online job posting sites, social media and other online resources;
  • Assist and/or provide support in recruitment of national/local staff in the National Officer and General Services categories;
  • Provide support of new hire on-boarding process and employee orientation;
  • Evaluate, develop, and recommend procedures. Participate in discussions on new/revised procedures and practices; interpret and assess the impact of changes and make recommendations on follow up actions;
  • Perform other related duties as required.

Eligibility Criteria:

  • Currently enrolled to a University or have recently graduated from a University, preferably in Human Resources, International Relations , Business Administration or Computer Science;
  • Have completed at least two years of undergraduate study;
  • Have attended courses in the last 12 months;
  • Fluent in English (both oral and written); knowledge of a second UN language, preferably French, is an asset.

Critical Success Factors:

  • Proficiency in MsOffice (Word, Excel, Power Point);
  • Strong Analytical and drafting skills; ability to extract, interpret, analyze and format data, and to resolve operational problems;
  • Ability to present their findings, or translate the data into an understandable document;
  • Critical Thinking: Ability to look at the numbers, trends, and data and come to new conclusions based on the findings;
  • Attention to Detail: Data is precise – vigilant in carrying out analysis to come to correct conclusions;
  • Ability to carry out several tasks simultaneously, within a limited time frame.

Terms and Conditions:

  • Interns receive a monthly stipend from WFP equivalent to 10% of the UN Daily Subsistence Allowance at the duty station. In Nairobi, Kenya, the monthly stipend is between US$625 to US$700 per month.
  • WFP is not responsible for living expenses, arrangements for accommodation, travel to and from WFP internship location, necessary visas and costs related.

Duration:

This is a 6 months internship programme that offers college students the opportunity to combine work experience and professional development with formal education. The WFP Internship program is designed to prepare high talent and self-motivated individuals for future careers with WFP.

The World Food Programme is the world's largest humanitarian agency fighting hunger worldwide.

WFP was first established in 1961[4] after the 1960 Food and Agricultural Organization (FAO) Conference, when George McGovern, director of the US Food for Peace Programmes, proposed establishing a multilateral food aid programme. The WFP was formally established in 1963 by the FAO and the United Nations General Assembly on a three-year experimental basis. In 1965, the programme was extended to a continuing basis.

Organization

The WFP is governed by an Executive Board which consists of representatives from 36 member states. Ertharin Cousin is the current Executive Director, appointed jointly by the UN Secretary General and the Director-General of the FAO for a five-year term. She heads the Secretariat of the WFP. The European Union is a permanent observer in the WFP and, as a major donor, participates in the work of its Executive Board.

Its vision is a "world in which every man, woman and child has access at all times to the food needed for an active and healthy life."

The WFP has a staff of about 11,500 people, the majority of whom work in remote areas.
