Overview
The Office Manager is responsible for ensuring the smooth operation of the Angola office and making sure that technical efforts and field activities are fully supported by coordinating program information and providing logistical support. Responsible for ensuring that all Angola’s office tasks are carried through to completion, and information disseminated to all project staff. Job responsibilities will include, planning for office operations, office maintenance and security, communications and records, property inventory and control and information management.. The Office Manager also oversees the overall administrative and financial functions of the MSH office in Angola under the Finance & Operations Manager’s supervision. The Office Manager ensures that personnel, administrative and contractual operations systems are conducted according to MSH regulations, standard operating procedures and good business practices
Specific Responsibilities
- Organize maintain & manage office support services including all bookings for workshops, conferences, travel and accommodation as may be required; 2) Set up meetings, draft all correspondence required, and handle day to day relationship management with vendors; 3) Provide basic project administrative orientation on procedures, resources, and key staff to new employees. Also inform all new staff and team members of updates or important changes relating to MSH organizational changes and perform other orientation-related activities as needed; ensure timesheets are submitted timeously and maintain leave records. 4) Oversee local procurement and execute all approved payments for local vendors, contractors and consultants for goods and services received, in accordance with the laws and regulations of Angola, and MSH and USAID regulations. 5) Maintain an effective office country filing system, order and replenish office and stationery supplies and manage the document courier service between Angola office and other MSH Offices. 6) Maintain all capital assets and update property inventory control.
7) Manage the events calendar and maintain the diaries of the technical staff. Coordinate all catering for meetings & Oversee boardroom bookings; 8) Oversee functions of drivers. 9) Conduct or support any special activities, and other duties as assigned 10) Perform other duties as assigned.
Qualifications and Experience
- Minimum Diploma with emphasis in Administration, Accounting, Business or Public Administration required, Bachelor’s degree preferred. 2. Minimum of three years experience in a similar position with, preferably with an international organization 3. Computer skills including proficiency in Microsoft Office Suite applications (Excel spreadsheets, word processing, and electronic mail along with data entry experience) along with ability to learn new software packages. 5. Strong communication writing and analytical skills demonstrated through a problem solving approach to administrative issues and a systems approach to management. 6. Ability to work independently and take initiative. 7. Ability to learn complex procedures. 8. Familiarity with protocols associated with managing a field office 9. Strong interpersonal and team leadership skills and participatory management. 10. Fluent in spoken and written English Fluency in Portuguese a must.
