OVERVIEW OF THE POSITION

Under the overall supervision of the Senior Operations Officer and the direct supervision of the Operations Officer (Voluntary Humanitarian Return assistant – VHR), the incumbent will be responsible for the data verification, management and analysis for all VHR programs.

GENERAL FUNCTIONS

Role objective:

The incumbent will be responsible for the data verification, management and analysis for all VHR programs.

Expected output:

  • Support the Operations Officer with the preparation of regular project narratives, concept notes, minutes of meetings and project reports, according to IOM and donor formats as required and update regularly and report to donors covering all IOM activities.
  • Arrange meetings with embassies of third country nationals, community leaders and migrants to disseminate information on IOM returns programmers and their procedures.
  • Support team 2 in arranging appointments with migrants to perform interviews collect the necessary pre-departure information and disseminate reintegration related information.
  • Assist in coordinating and monitoring work of the different VHR teams that performs documentations as well as migrants’ interviews.
  • Keep track and ensure that the information collected in the interviews is correctly and accurately entered into IOM database and to the most possible, all vulnerabilities were captured and shared with the relevant units (protection, medical and or direct assistance).
  • Keep track and properly ensure that the information collected in the interviews is correctly and accurately entered into IOM movement database.
  • Verify migrant documents as necessary and confirm the validity of travel documents prior to pro-flights in Mimosa and flight bookings.
  • Follow up for timely assignment of medical and operational escorts to pro-flights. make escort bookings and communicate the details to those concerned offices in accordance with the program requirements.
  • Keep updated pro-flight file, ensuring that all necessary documents are requested and included in the file including exit permits, correspondence with airlines, receiving missions and other related parties.
  • Participate in discussions on procedures and practices to improve the efficiency of process delivery.
  • Provide guidance and training to new/junior when needed.
  • Perform such other duties as may be assigned.

Project reporting:

This role reports to the to the Senior Operations Officer.

Team management:

This role does not require team management responsibility.

ESSENTIAL EXPERIENCE

Education:

  • Diploma in in Business Administration, Tourism or relevant field will be an advantage..

Work experience:

  • Minimum of 3 years of demonstrable relevant Civil Society & NGO’s experience.

Geographical experience:

  • Minimum of 3 years of experience in Africa with local experience in Libya is an advantage.

Languages:

  • Fluency in English and Arabic are essential.

Experience in producing documents for publication, and in writing and producing print ready documentation in different styles and formats to a high standard.

Familiarity with project cycle management including the monitoring and evaluation of results/outcomes/evidence of impact.

Excellent IT skills and advanced knowledge of MS Office, with proven experience in MS Access, Excel, Word processing and Power Point.

Languages:

Arabic & English (Fluent).

Working knowledge of French (Desirable)
