Responsible to the Head of Programmes, and reporting directly to Head of Programme Management Office (PMO), the Programme Support Analyst will support the PM Office with the following duties and responsibilities: Delivery and performance

  • Improve the planning and delivery process by collecting and maintaining project data in consistent manner.
  • To implement guidelines, procedures and templates and provide hands-on support to PMO and projects.
  • Monitor if all projects comply with strategies for risk, stakeholder engagement, configuration and quality.
  • Monitor if all projects comply with their planned governance arrangements and hold regular meetings.
  • For projects without dedicated project support team, provide day to day project support to its manager.
  • To facilitate or accompany on missions to implementation facilities to report progress, identify issues or deliver training.

Knowledge Management:

  • Creates and maintains UNOPS PMO page content and keeps it up to date.
  • Ensures programme related knowledge and lessons learned is captured and integrated.
  • Ensures all project documentations are filed properly and uploaded as per our configuration policies.
  • Ensure all GHOH project teams are part of Project Management Communities of Practices.

Training and capacity development

  • Monitor and track project management learning needs and completion rates for all project staff under the hub.
  • Track resource utilisation for project staff pool across the hub for an optimum performance.
  • Provide day to day tools support and trouble shooting for project teams in country offices.
  • Prepare induction package for project support officers and induct them on their arrival.
  • Ensure all offices are following the approved tools, templates and standards.

Budget / Finance

  • Support project managers with project budget preparation, revisions and financial reporting.
  • To support delivery forecasts preparation, variance monitoring and subsequent follow up for exceptional cases.
  • Monitor expenditure forecasts are in line with procurement plan and ongoing contracts
  • Monitor if financial reporting to clients if its accurate and timely

Project Closure

  • To assist Engagement Closure Manager on operational and financial closure of projects under the hub.
  • Monitor the status of project closure activities and check the accuracy of: data in Atlas, Management Workspace and Project Document Centre (PDC); project reports and relevant documentation prepared by the Project Managers
  • To work closely with key stakeholders to ensure all projects are closed on time and in line with the organisational policies.
  • Perform other duties as may be assigned by the Head of PMO or the Head of Programmes

Education Bachelor’s Degree in Business Administration, Project Management, Development studies or related field.

Applicants with a relevant Diploma with 4 years of relevant working experience may also be considered.

Applicants with a relevant Secondary School certification with 6 years of relevant working experience may as well be considered.

Experience

2 years of progressively responsible experience of supporting portfolio/programme or projects.

Prior experience within the development sector a key advantage.

Well conversed in data analysis, management reporting and project management tools and information management systems.

Certifications in Prince2 Foundation and/or PMP are considered an asset.

Language requirements

Fluency in spoken and written English is required.
