Grant management

  • Support Head of Programmes (HoP)/Programme Manager (PM), Finance Coordinator (FC) in preparing the VSO SCOPE annual budget.
  • Support in monthly monitoring of expenditure against budgets and activities against work plans communicating any areas of variance to HoP/PM and FC with suggested corrective actions
  • Support and advise partners in submitting their reports and accountabilities as well as checking of accountabilities submitted by partners against budget and query any variances
  • Ensuring that expenditure by partners is in line with budgets and support partners with budget revision and changes
  • Understand the donor rules and regulations and ensure partners are following and complying with
  • Manage timetable for and obtaining partner accountabilities
  • Ensure financial reports and files are up-to-date
  • Work with Finance Coordinator to reconciling partner reports
  • Inputting into developing of financial reports to SCOPE
  • Input into budget reforecasts

Project Delivery:

In coordination with SCOPE team and VSO HoP/PM, and working closely with VSO volunteers:

  • Support implementation of VSO lead SCOPE field based activities in the Albertine region to ensure: activities are implemented according to agreed annual, quarterly and monthly work plans and budgets; and delivers against timeframes and project output and outcome targets/objectives
  • Support organising of project activities according to work plans and in line with VSO and Donor policies and procedures.
  • Provide weekly updates on project progress to HoP/PM, VSO volunteer, Grants Coordinator (GC) highlighting any deviations against plans and budgets with solutions to overcome
  • Submit activity and monthly plans/reports; document and share successes and case stories and lessons learnt
  • Participate in SCOPE planning and review meetings

Partnerships:

  • Working closely with the VSO volunteers, to develop and strengthen partnerships with VTIs; ensure application of VSO people first principles
  • Conduct at least monthly project support visits to each partner and volunteer
  • Provide on the job support and coaching to VTI partners especially in the area of financial management and procurements to ensure delivery of partner lead project objectives and mitigate risks
  • With VSO volunteers and PM support partners to actualise procurement and finance policies and ensure compliance with VSO and donor requirements
  • Identifying, maintain and strengthen relationships with key stakeholders to strengthen project impact and sustainability

Work closely with FC to formulate a standardise financial reporting template for the VTI partners

We’ve gone from being a UK charity to an international one. In 2013/2014 alone, our volunteers trained over 174,000 people, and delivered services that had an impact on the lives of almost 2 million.
