Job holders at this level are responsible for completion of a range of procurement processes and activities requiring some interpretation of standard guidelines/practices. JOB PURPOSE

To perform and apply appropriate processes, procedures and policies that support the efficient and effective procurement services.

KEY ACCOUNTABILITIES (not all-inclusive)

Output 1: Provide Support to the Supply Chain unit on missions and official travel

  • Draft timeline for missions throughout 2017
  • Assist staff with missions/ travel arrangements (Renewal of UNLP – Accommodation – Admin note – Transportation – DSA)
  • Liaise with the targeted COs for administrative coordination
  • Coordinate with the staff and CO on the successful implementation/ tracking of the missions recommendations- Follow up-

Output 2: Manage administrative aspects of the units’ organized activities

  • Draft timeline for the activities and liaise with the event coordinator (Admin) to include in the master plan
  • Handle the on-ground operations of the respective event including taking care of any issue that pops up during the event
  • Capture feedback and recommendation on enhancements

Output 3: Monitor the use of the unit’s budget and report to head of unit on the usage and current balance

  • Draft budget estimations for 2017 missions, learning activities, and other components
  • Create a budget tracking tool to continuously monitor the actual expenditure and get an idea of how aligned the estimates are with the actuals
  • Present the budget tracker results to the management in an agreed way and frequency

Output 4: Create and maintain tools and templates that increase efficiency

Output 5: Assist proc staff in technical aspects of the procurement

  • Assist the technical colleagues with their cases whenever there is time
  • Provide a second-eye for the documents -proofreading-
  • Assist the unit with updating vendor roster
  • Create a tool to manage the submissions and successful registration of suppliers

Output 6: Filing and archiving

Outcome: Develop and maintain an organized and efficient electronic archive and filing system for the unit

The World Food Programme is the world's largest humanitarian agency fighting hunger worldwide.

WFP was first established in 1961[4] after the 1960 Food and Agricultural Organization (FAO) Conference, when George McGovern, director of the US Food for Peace Programmes, proposed establishing a multilateral food aid programme. The WFP was formally established in 1963 by the FAO and the United Nations General Assembly on a three-year experimental basis. In 1965, the programme was extended to a continuing basis.

Organization

The WFP is governed by an Executive Board which consists of representatives from 36 member states. Ertharin Cousin is the current Executive Director, appointed jointly by the UN Secretary General and the Director-General of the FAO for a five-year term. She heads the Secretariat of the WFP. The European Union is a permanent observer in the WFP and, as a major donor, participates in the work of its Executive Board.

Its vision is a "world in which every man, woman and child has access at all times to the food needed for an active and healthy life."

The WFP has a staff of about 11,500 people, the majority of whom work in remote areas.
