Organizational Setting and Reporting

This position is located in the UNODC Programme Office in Ethiopia (POETH), under the UNODC Regional Office for Eastern Africa (ROEA) in Nairobi, Kenya. Within the framework of the UNODC Regional Programme for Eastern Africa (2016-2021), the incumbent will work under the overall supervision of the UNODC Representative for Eastern Africa (ROEA) and under the direct supervision of the Programme Management Officer heading the Transnational Organized Crime and Illicit Trafficking Programme for Eastern Africa. S/he will work in close cooperation and coordination with the Associate Programme Officer in Ethiopia and the programme support staff at ROEA in Nairobi.

Responsibilities

The incumbent will assist the Programme Management Officer heading the Programme, the Crime Prevention and Criminal Justice Officer and the Associate Programme Officer in Ethiopia with day to day administrative support to programme activities related to countering Trafficking in Persons and Smuggling of Migrants in Ethiopia. The incumbent will also assist with the implementation of other related activities in countering transnational organized crime, illicit trafficking and terrorism, if required. Within assigned authority, the incumbent will be responsible for the following duties:

  • Perform a wide range of office support and administrative functions.
  • Draft responses to routine correspondence and other communications.
  • Perform general administrative tasks (e.g. leave and attendance recording, arrangements for meetings and other events, reservations and budget follow-up.), and prepare and/or process administrative requests/documents (e.g. requisitions, purchase orders, travel requests, contracts, expenditure authorizations and visa applications).
  • Monitor processes and schedules related to day to day programme activities, outputs, products and tasks; where applicable, assist in the verification of receipts and accuracy of requisite documents, approvals and signatures to ensure compliance with relevant legal, financial and other requirements.
  • Research, compile and organize information and reference materials from various sources for reports, work plans, studies, briefings and meetings/conferences.
  • Generate a variety of standard statistical, other reports and work orders, using various databases.
  • Proof-read documents and edit texts for accuracy, grammar, punctuation and style, and for adherence to established standards for format.
  • Provide administrative and logistical support to meetings, boards, committees, conferences and other events.
  • Maintain calendar/schedules; monitor changes and communicate relevant information to appropriate staff inside and outside the immediate work unit.
  • Perform data entry and extraction functions.
  • Maintain files (both paper and electronic) and databases for work unit.
  • Provide guidance to less experienced staff on general office processes, procedures and computer applications.
  • Perform other work related duties as assigned.
