USAID awarded a comprehensive health service delivery project to PATH to improve the health of Kenyans in the western region of the country.The project, APHIAplus Western Kenya, builds upon USAID/Kenya’s country-wide health service support project known as the AIDS, Population and Health Integrated Assistance II (APHIA II).PATH and its partners have been implementing the APHIAplus project in Western and Nyanza regions since January 1, 2011.The project will run up to 30th September 2017.The project works closely with the Government of Kenya and a wide variety of non-government agencies to strengthen health care services throughout the western region. In addition to addressing specific diseases, the APHIAplus Western Kenya project works on strengthening the region’s health care system by rehabilitating health facilities, training healthcare workers, and supporting supply and communication networks.

We seek to recruit a Temporary Operations Assistant to provide administrative support in the design, implementation and monitoring of project activities. Support the Senior Operations Officer in organizing and coordinating logistics for the APHIAplus project office, assist with the management and presentation of information,such as the development of Power Point presentations,handling basic correspondence and co-ordinate transport for the Kisumu regional office.The Temporary Operations Assistant will be based in Kisumu.

Specific duties and responsibilities:

  • Mail management- arranges for post box pick-ups; sorts and distributes incoming mail; arranges for outgoing mail, including courier services.
  • Ensure utility bills (water, Electricity, Courier) are obtained in good time for prompt payment processing.
  • Manage and coordinate the duties of the Offices support staff and keep a log of their services for payment processing.
  • Support in coordinating logistics for the APHIAplus projects, by ensuring vehicles are ready and in good condition to facilitate staffs and visitors travelling on PATH business.
  • Ensure all equipment i.e. air conditioning units, printers, water dispensers, photocopy machines are in good condition and any malfunctions have been reported for action.
  • Preparation of hired transport matrices, compilation of G4S waybills and reconciliation with invoices for payment processing.
  • Organize and coordinate logistics for project meetings and workshops.
  • Co-ordinate and maintain records of staff and their telephone contacts.
  • Handle all Operations related inquiries within capacity.
  • Make Hotel accommodation bookings for staffs and visitors.
  • Make flight booking logistics and airport ground transfers.
  • Manage and coordinate duties of the Project drivers.
  • Maintain office supply inventories.

Required Experience

  • At least a Diploma in Business Administration or a related field. A degree in Business Administration would be an added advantage.
  • Minimum 3 years in a similar role preferably in an NGO.
  • An effective communicator.
  • Experience and ability to coordinate a team and work within a team.
  • Ability to Multitask.
  • Good at problem solving, fast thinker.
  • Has good decision making skills.
  • Organized and a good time manager.
