GIZ-CPS programme

Background

As an international cooperation enterprise for sustainable development with worldwide operations, the federally owned Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH supports the German Government in achieving its development-policy objectives. GIZ promotes complex reforms and change processes.

In Ethiopia, GIZ has been working for more than 40 years in bilateral cooperation on behalf of the German Federal Ministry for Economic Cooperation and Development (BMZ) and on commission of the Ethiopian government and international donors.

Germany’s Civil Peace Service (CPS) operates in many regions around the world. It deploys trained peace experts who work with local partners in the long term. In Ethiopia, the CPS takes a systemic approach to conflict transformation working across different sectors and on the local, regional and federal level.

In order to achieve its objectives, GIZ CPS it is looking for a Administrative Assistant to support the CPS Program Office in Addis Ababa.

Position:                                 Administrative Assistant

Responsibilities

The Administrative Assistant is responsible for

  • dealing with all questions arising in this area
  • daily operational performance of all administrative tasks for the programme,
  • filing documents with reference to GIZ’s filing rules,
  • managing good communication flow in team, with partners or outside bodies.

Tasks

 Administrative duties

The Administrative Assistant

  • books travel including flights and accommodation for team members, partners and guests
  • organizes and facilitates events such as workshops, staff meetings and PR-related events
  • processes bills and contracts
  • facilitates administrative issues for new arriving staff, partners and guests of the programme
  • supports logistics and procurement as necessary

Finance duties

The Administrative Assistant

  • handles the petty cash and emergency fund of the project
  • requests, organizes and files the local subsidy contracts as well as overlooks their progress
  • checks for correctness and completeness of financially relevant documents
  • checks logbook entries and fuel consumption

 Field work

The Administrative Assistant

  • joins the teams in the field and handles any petty cash payments
  • engages in any event organization with the team and partner organizations
  • Any other tasks as required and requested by superiors.

Job Requirements

Required Entry Qualifications and Competences:

  • Qualification in Business Administration/ Management, accounting or similar areas

  Professional Experience

  • At least 3 years’ professional experience in a comparable position

 Other Qualifications

  • strong team work and interpersonal skills
  • ability to express oneself well both verbally and in writing (English and Amharic), Orominya is an asset
  • coordination and networking skills
  • excellent proficiency in MS Office Suite (word, excel, power point, outlook)
  • good knowledge in any accounting software
  • willingness to go on field trips in remote areas
  • good organizational and time management skills to prioritize workloads and tasks
  • willingness to engage in tasks as required by management
