Purpose of the position:

To manage and coordinate fleet, administration and logistics functions to enable WVL to be effective and efficient in achieving child well being outcomes.

Key Outputs/Responsibilities(Accountabilities and results)

Monitor WVL’s fleet and ensure efficient coordination of fleet in line with WVL Vehicle Policy and transport systems including logbooks. Arrange for the renewal of vehicle licences and Insurance Policies.

Analyze, prepare and present monthly report fuel consumption and vehicle maintenance expenditures and advise management on control measures.

Facilitate purchasing of WVL cars and motorcycles as required and arrange for the renewal of vehicle licenses and Insurance Policies. Ensure that all WVL vehicles have First Aid kits and fire extinguishers.

Ensure World Vision’s fleet of vehicles and equipment are mechanically maintained in a manner that will provide reliable transportation and for World Vision goods, assets and staff.

Analyze costs related to fuel consumption and vehicle maintenance and propose adequate measure to increase cost efficiencies

Support and provide training for drivers to improve performance and to observe the WVL Vehicle Policy and ensure the safety of WV asset and staff.

Design, implement, and manage administration function for efficient office functioning.

Manage office support and logistic services, local and international transportation, housing, purchases, building services, photocopier/printer, telephone, communications and hospitality to visitors to ensure smooth operation of WVL.

Negotiate administration related contracts, maintenance agreements and purchase orders for all sectors to ensure that services are delivered as per requirements.

Ensure adequate fixed assets policies and tracking systems are in place. Maintain inventory and fixed asset register for tracking and accountability. Perform annual physical inventory of WVL asset register in NO and field offices.

Coordinate and facilitate insurance cover for all World Vision Assets to minimize risk.

Ensure security services of all World Vision offices and rented houses are provided in consultation with WVL security officer to enhance security of World Vision staff and property.

Supervise the work activities of the drivers and administration staff and carry out performance appraisals to ensure excellent delivery of administration services.

Ensure all administration related invoices, cost allocation and payments are done in a timely manner
