Description

Reports to: Research Team Leader – Soils, Waters and Agronomy & Senior Climate Scientist. Location: Cairo, Egypt.

Main purpose of position

The role of the Administrative Assistant for the GeoAgro and SWA teams is to co-ordinate and provide secretarial and administrative support to the SWA and GeoAgro Research Teams, including Research Platforms, under the supervision and guidance of the Research Team /Platform Leaders.

Main responsibilities

  • Manage complex calendars including meetings with participants in multiple time zones, both internal and external.
  • Respond to emails, phone calls and mail directed towards both divisions and forward all information to relevant teams.
  • Coordinate daily workflow and project progress, ensuring clear roles and responsibilities; ensures tasks and deliverables are being met and follows up on action items.
  • Provides operational support, including, but not limited to, knowledge management, maintaining an organized virtual filing system, creates team meeting agendas, captures notes and action items from key meetings/convenings.
  • Draft letters and emails on half of the teams our purposes of outreach.
  • Assist with the logistics aspects of meetings, training courses, workshops, and other events. Coordinate complex travel arrangements as well as visa support for principals that travel internationally and domestically (flights, hotels, car services, visas, etc.).
  • Printing and photocopying reports and other documents, as maybe required.

Requirements

Education, qualifications, and experience

  • BSc or equivalent in Business Administration or other relevant field, (High school education and relevant training combined with extensive 5+ years of work experience is also accepted).
  • Minimum of two years’ experience in secretarial work and office management, experience in an international and multicultural environment is an advantage.
  • Excellent spoken and written Arabic and English.
  • Strong customer service orientation.
  • Excellent organizational skills and ability to establish priorities and operate with minimum supervision.
  • Ability to work effectively under pressure.
  • Substantial Experience in Microsoft Office (Word, Excel and Power Point, Outlook) and other relevant computer applications, databases, and filing systems.
  • Excellent interpersonal skills, and the ability to work in multi-disciplinary and multi-cultural teams.
  • Willingness and flexibility to occasionally work outside official office hours.

Terms of appointment, salary, and benefits

This is a nationally recruited staff position open for Egyptian nationals for which ICARDA offers an attractive compensation package including a competitive salary, medical insurance, 30 days of annual leave, five months’ maternity leave, 15 days’ paternity leave. The successful candidate will be offered an initial contract of 3 years, renewable subject to continued need for the position and satisfactory performance. The first year will be a probationary period.
