Purpose of the position:

To assist the HR department in providing effective technical and administrative expertise on HR business processes to Grants Projects to ensure consistency in the application of HR best practices to the attainment of a harmonious organizational climate. To provide effective P&C Payroll and Administration expertise and OurPeople P&C Systems support to Grants Projects and act as a custodian of all employment records for the entire WVE Grants workforce.

1.HR Administration & Records Management

  • Facilitate administration of staff benefits and leave as stipulated in the HR policies and maintain compensation and benefit staff records, ensuring timely payment of staff contributions and payouts on all benefits including WV Provident Fund and Medical Aid.
  • Ensure that all staff information is properly kept, updated and confidentiality is maintained.
  • Ensure that Performance Agreements are in place for all Grants staff
  • Compile a Performance Report of the organization based on performance reviews done for all staff
  • Maintain and update employee records.
  • Facilitate all exit processes for all Grants staff and ensure that these are done timely.
  • Provide technical support on recruitment, performance management, staff development, employee wellness to Grant staff
  • Facilitate recruitment and selection processes according to WVE Standards for timely replacements of staff in WVE. Keep Hiring manager informed of progress and engage them to create job advertisements, review shortlist and participate in interviews.
  • Facilitate signing of core documents (i.e. disclosure form; conflict of interest; child protection; Code of Conduct; confidentiality form; core values, mission, vision, HR declaration form) in compliance with WVI standards.
  • Conduct staff file audits to ensure that all employment contracts are in place.
  • Design and manage a staff orientation programme
  • Negotiate and process employment contracts
  • Assist in the facilitation of workshops to advocate for healthy work/home balance, staff well-being, security and appropriate arrangement for stress management

2.Performance Management

  • Ensure that Performance Agreement are in place for all staff
  • Assist staff to ensure staff performance appraisals are carried out in a timely and appropriate manner

3.Payroll Administration

  • Administer the payroll for Company 142 SAGE according to WVE policies and procedures in line with Labour laws of the Government of the Kingdom of Eswatini,
  • Ensure all payroll records are accurate at all times
  • Ensure timely preparation and distribution of salary advice slips and timely payment of statutory deductions.
  • Process and file employees leave details.
  • Run payroll and check completeness of all employee deductions and earnings
  • Run final payroll and submit to P&C Business Partner and Grants Finance Team for checking and authorisation
  • Maintain confidentiality of employee of salaries and records
  • Work in collaboration with the P&C Business Partner, Grants Finance Team on all Grants payroll related matters
  • Receive, collate and file new engagement forms, staff terminations and pay adjustments
  • Timely processing of new staff engagements and or terminations of staff on the payroll system
  • Ensure that all Payroll process are informed by an LDR report.
  • Keep P&C Business Partner informed of all payroll problems and activities, and seek input and advice as appropriate.

  • Register all new employees in the HR (OurPeople) system and capacitate staff on usage
  • Assist in cleaning individual personal queries in OurPeople
  • Ensure that Employees are processing Labour Distribution Reports (LDRs) on OurPeople system on time every month

Qualifications: Education/Knowledge/Technical Skills and Experience

The following may be acquired through a combination of formal or self-education, prior experience or on-the-job training:

  • Minimum Qualification required: University Diploma in Human Resources Management
  • Experience: A minimum of 1-3 years in Human Resources Management in Generalist role and extensive payroll administration experience.
  • Preferred: Experience in Ngo added advantage
  • Technical Skills & Abilities:
    • Excellent interpersonal skills
    • Good communication and negotiation skills
    • Expert knowledge of local labour legislature
    • Ability to work under pressure
    • Team player who is detail-oriented
    • Ability to function in a cross cultural environment.
