CALL FOR PROPOSALS: PAYROLL PROCESSING AND ADMINISTRATION

Background Habitat for Humanity Kenya (HFHK) is a non-profit, non-governmental Christian housing organization dedicated to the elimination of poverty in Kenya through housing. HFHK is affiliated to Habitat for Humanity International (HFHI). Anchored by the conviction that safe and affordable housing provides a critical foundation for breaking the cycle of poverty, Habitat helps people construct, rehabilitate and/or preserve their homes. Habitat also advocates improving access to decent and affordable housing and supports a variety of funding models that enable families with limited resources to make needed improvements on their homes as their time and resources allow. HFHK has been working since 1982 and has helped over 5000 families organized in some 200 community groups to construct simple, decent and affordable housing through provisions of loan capital and technical support needed for house construction. The organization is developing its new strategy aiming to increase its capacity, scale up and make positive impact on the housing conditions of low income people in Kenya.

HFHK invites interested and eligible payroll consultants to submit their bids for the following services.

  1. The Payroll Service Provider shall process the payroll on a timely basis and ensure that all Habitat employee salaries are in the bank accounts at a time agreed on with the client.
  2. Make the necessary statutory returns to the relevant Government agencies.
  3. Make third party payroll related payments on behalf of Habitat for Humanity Kenya. These include but are not limited to insurance deductions, loan repayments.
  4. Provide P9 forms to enable individual tax returns at the end of every year.
  5. Advice on matters relating to PAYE and other statutory deductions and ensure that Habitat for Humanity Kenya is compliant
  6. Maintain a backup of the payroll.
  7. Print monthly pay slips for all staff.

Additional requirements

  1. Provide a list of at least 5 clients you are currently working with.
  2. Proposed fee for the engagement split between consultancy and disbursement fees.
  3. Copies of PIN certificate, Certificate of Compliance, Proof of Registration.
  4. Company bankers.
