Purpose of Role:

The Data Coordinator will be hired by FHI 360 CDS, will be placed with the direct implementation partners to improve the quality of data and recording of service provision on Orphans and Vulnerable Children (OVC) services.  S/he works as a link between field staff and the MER staff including data capturers.  The focus of the scope of work is to reduce incomplete recording and inaccuracy in demographic, subpopulation, HIV status and services data and promote quick capturing of OVC_SERV and HIV_STAT data on the Community Based Intervention Monitoring System (CBIMS) database and avoid loss of data.

This means that the incumbent will work with the field staff and Supervisors to ensure that services provided are correctly recorded in client files and meet data quality standards for it to be passed onto data capturers for capturing in CBIMS. This will ensure that the data reported to FHI 360 CDS and that is used for program improvement meet high data quality standards. The incumbent will ensure that OVCY data is collected using prescribed OVCY standardized data sets/tools, conduct follow up activities as necessary to ensure that no data is lost and will be part of records maintenance.

Key Responsibility Areas:

  • Act as the link between field staff and MER staff at implementing partner level to ensure that data is recorded completely in all data collection tools, facilitate quick submission of completed forms and facilitate timeous capturing of data.
  • Work with field staff and Supervisors to prepare case files for data capturing;
  • Support MER staff to identify and resolve bottlenecks along the data flow continuum;
  • Provide technical assistance to the field staff to facilitate timely completion of data collection forms and support the data capturers in accessing clean data for capturing.
  • Work closely with Program team to ensure that all service data have been appropriately collected and entered in OVCY data collection tools for timely capturing and reporting.
  • As needed, alert Monitoring and Evaluation Officer and Strategic Information Director on data quality issues and propose resolutions for turning around risky situations
  • Liaise with the Clinical team on the recording and reporting of HIV + OVC data in ways that uphold high data quality
  • Document all efforts of data cleaning and data quality improvement including keeping error log
  • Document problem solving practices and processes and record best practices for dissemination and replication purposes.

Required Experience/Skills: 

  • Preferably, diploma or tertiary qualification in one or more of the health-related fields of public health or social sciences.
  • At least 1 years’ experience in data management, specifically in the health sector or in HIV and AIDS prevention or OVCY related fields in South Africa.
  • Experience working with field staff in data collection and in collecting data at community level.
  • Computer skills (Word, Excel, Power Point, and Outlook)
  • Strong individual initiative, including the ability to manage daily activities and achieve expected results with minimal oversight
  • Ability to speak and write English fluently and local languages.
  • Must be detail-oriented and able to work independently
  • Exceptional attention to detail
  • Good communication and teamwork skills
