JOB PROFILE – Executive Assistant to the Marketing and Stakeholder Relations Executive

REPORTING TO

Marketing and Stakeholder Relations Executive (MSRE)

OVERALL PURPOSE OF POSITION

Providing executive support and assistance to the Marketing and Stakeholder Relations Executive .

KEY PERFORMANCE AREAS

  • To play a critical role in supporting the MSRE on the day to day activities and various projects.
  • To display a professional and business like image both on the telephone as well as in person at all times, while representing the MSRE and acting on his/her directions.
  • Takes the lead in preparing the MSRE for meetings and other stakeholder engagements with a variety of audiences and in ensuring follow up from the MSRE as well as other parties involved in meetings/projects.
  • Writes briefing notes and other written materials for the MSRE and help coordinate and responds to the MRSE’s day to day correspondence.
  • Attends certain Afrika Tikkun related meetings and events with the MSRE.
  • Researches and writes reports and other working documents that provide guidance on complex projects and program issues.
  • Collects information from business divisions /departments at the MSRE’s request
  • Coordinates projects – based work across the divisions/ departments under the MSRE‘s direction.
  • Electronic filing and data management

 REQUIRED QUALIFICATIONS

  • Matric (Grade 12).
  • Project management diploma or equivalent.
  • Possibly undergraduate qualification in communication and/or business administration.

REQUIRED EXPERIENCE

Minimum of 5 years of experience in providing high level support of senior executives or similar experience in running a business.

  • Strong command of Microsoft Office.
  • Demonstrated ability to focus on ‘big picture’ issues while simultaneously maintaining an exceptional attention to critical details.
  • Excellent organizational, interpersonal, oral and written communication skills required.
  • Ability to maintain an exceptional attention to detail.
  • Ability to function effectively in a fast-paced, complex environment. Able to exercise thoughtful and independent judgement and discretion while maintaining direct and diplomatic approach.
  • Proven commitment in maintaining the highest ethical and professional standards.
  • Positive “can-do” attitude.
  • Proactive in completing tasks accurately and on time
  • Communication: Effective verbal and written communication ability
  • Initiative: Making active attempts to influence events to achieve gaols.
  • Self – starter rather than accepting passively: Taking action to achieve goals beyond what is required and being proactive all the time.
  • Must be articulate and have good presentation skills.
