About the role

  • Assist Program Officers and District Coordinators in preparing all necessary documentation related to program activities, in line with Program Finance Processes and Procedures manual, including grant agreements, contracts, purchase orders, travel Letters, budget reallocations, project extensions and/or supplements, project completion reports, and the regular project completion reports and project summaries.
  • Lead in the preparation of contracting documents which include P-REQs, draft contracts in CLM and travel letters
  • Monitor contract review and approvals in CLM and contract expiration timelines to ensure that NCTEs/CTEs are processed in time (if required) and Contract Closures are prepared and submitted timely
  • Assist in circulating ToR for procurements to vendors
  • Update the Contracting Database with the necessary contract information and upload support documentation.
  • Manage petty cash, record and reconcile and provide monthly petty cash reports
  • Liaise with Payroll Service Provider to process monthly payroll
  • Assist with the organization and logistics for program meetings and workshops.
  • Prepare and submit PRFs, Preq, activity budgets, participants attendance sheets to RO for review, approval and payment
  • Coordinate and arrange travel itineraries, flights, accommodation, airport transport, visas, travel authorizations, documentation folders for program staff, consultants as well as program specific workshop participants and visitors.
  • Support in Malawi Office set up

Requirements

  • Bachelor’s degree in business administration or other related field from a recognized university or an acceptable combination of education and experience.
  • 5 years’ experience working in an office environment in a similar position.
  • 3 years’ experience working in program management environment.
  • Proficiency working with the Microsoft Office suite.
  • Experience working with database, an asset.
  • Ability to plan and organize work to meet deadlines
  • Ability to adapt to new situations within the organization as they arise (flexibility)
  • Ability to work under pressure
  • Excellent interpersonal skills
  • Excellent communication skills, both orally and in writing
