Dimensions of Role:

The Finance Assistant will be based at the Country Office and will report to the Country Accountant.  S/he will uphold Plan’s Core Values, promote our mission and vision, programme principles (transparency, gender equality and diversity) to enhance programme impact, and be committed to child protection and respect for human rights.

 

Typical Responsibilities – Key End Results of Position:

 

Key Result Areas:

·         Initiate processing of all approved invoices in to the finance system in preparation for payment and further processing of the payment while observing segregation of duties. Ensure that suppliers’ remittance advices are sent immediately after payment.

·         Process travel Advances, staff claims and Liquidations and seek approvals of the same where required.

·         Prepare reconciliations for bank, Mobile Money, and vendor accounts.

·         Support in the Review of Partner/ Suppliers/Staff Advances liquidations as required.

·         Participate in the annual physical verification of Assets in the Country Office

·         Maintaining and managing of all project financial documents to safeguard financial documents and audit trails. Ensure that all financial documents are properly filed for easy retrieval.

·         Actively participate in the preparation of Quarter end reporting schedules.

·          Support in the correction of NR Grant or any other grant corrections as requested by other accountants or the grant department.

·         Support in clearing of balance sheet accounts like advances, prepaid rents, prepayments among others. Preparing of reconciliations of balance sheet accounts. E.g. cash, medical, receivables and payables accounts as guided by the Country Accountant.

·         Support in Grants and Finance Remediation as guided by the RH through the Country Accountant in preparation for SAP migration into the finance system.

·         Posting Mobile Money journals and any other monthly related journals every month before the closure of the period as guided by the Country Accountant.

·         Prepare audit documents as maybe necessary for statutory audits, internal audits and any grants audits.

·         Participate in CO Operations processes as maybe required from time to time.

 

Dealing with Problems:

The post holder requires good communication skills and judgement to negotiate with project staff, vendors and partners. 

 

Communications and Working Relationships:

The post holder will be required to support in maintaining and developing a range of working relationships, including vendors, implementing partners and Project staff.

 

Effective working relationships within Plan are also critical for this position, including vendors, implementing partners and project staff.

 

Knowledge, Skills, Behaviours, and Experience Required to Achieve Role’s Objectives:

 

Educational Qualifications, Knowledge & Experience:

·         Bachelor’s Degree in Accounting, Finance or relevant field.

·         Undertaking or through with professional qualification  in accounting eg ACCA, CPA

·         Knowledge of finance processes, systems and principles.

 

Key Skills Specific to the Post:

·         The position requires good analytical skills to process program and financial related information from the grant-funded projects to review financial and narrative reports. 

·         Ability to withstand pressure of deadlines and ensure high quality outputs/standards.    

·         Good negotiation, communication and advocacy skills.

·         Excellent management skills, including ability to identify challenges and provide or work with teams to propose possible solutions.

·         Good report writing skills.

·         Good networking, interpersonal, relationship skills and teamwork spirit.

·         Proficient in computer skills.

Plan International is an international organisation or development which works in 51 countries across Africa, the Americas, and Asia to promote the safeguarding of children.It is a nonprofit organisation and is one of the world's largest organisations based on children, it works in 58,000 communities with the help of volunteers to improve how 56 million children live. The charity also has 21 national organisations who have been given the responsibility to oversee the raising of funds and awareness in their individual countries.

The NGO focuses on child participation, education, economic security, emergencies, health, protection, sexual health (including HIV), and water and sanitation. Plan International was founded during the Spanish Civil War by British journalist John Langdon-Davies and aid worker Eric Muggeridge. When they witnessed the conflict change the lives of children, they founded ‘Foster Parents Plan for Children in Spain’, which would later change its name to Plan International. Set up in 1937, the organisation provided food, shelter and clothing to children whose lives had been destroyed by the war.
