About the Country Program in Ethiopia

Action Against Hunger has been operational in Ethiopia since 1984 responding to both chronic and acute needs through a multi-sectoral strategy where Nutrition, Food Security and Livelihoods, WASH and Mental Health and Care Practices are integrated to have a meaningful impact on people’s resilience.

Action Against Hunger currently operates in 5 different regions with an anticipated 2020 yearly portfolio of 20m USD of emergency and resilience building programs, research and innovation. We have a country team of about 560 staff working out of 18 field offices across Ethiopia. Our main donors in Ethiopia are: ECHO, Europaid, UNHCR, OFDA, BPRM, SIDA, EHF, WFP and others.

Grants and Reporting Officer

Work Base: Addis Ababa with Frequently travels to intervention areas

Availability: As Soon As Possible

Depending upon employment history including 20% Transportation Allowance of Basic Salary,

Insurance (Life, Group Personal Accident and Medical Insurances are covered upon the organization policies).

General Assignments / scope of the Role:

The Grant and Reporting Officer will contribute to the overall grants management of Action Against Hunger – Ethiopia Mission in line with Action Against Hunger and country technical policies. The Grants Officer will report to the Grants and Reporting Head of Department. This position is based in Addis Ababa with occasional trips to field sites when required. The Grant Officer will work collaborately with all the Grants and Reporting Department team members, Technical Advisors of programs, Operations team, and Finance Department as well as Field coordinators.

Duties and Responsibilities:

1.            Grant Management

·         Support the Grants management team in organizing grant review meetings, project kick-off meetings, project closure meetings and other grants related meeting

·         Take the minutes of all grants related meetings and share to the relevant teams.

·         Support the Grants management team in ensuring that final agreement packages (Narrative, Budgets, Work plans etc.) are shared with program and support teams and highlight relevant donor compliance regulations.

·         Share visibility donor guidelines and requirements to field teams. Assist field team in the implementation of visibility requirements, monitor visibility activities at field level.

2.            Reporting

·         Support the Grants team to prepare, update, and share regularly donor-reporting schedules.

·         Follow up with Field Coordinators (FCs) and Technical Advisers (TAs) for the timely preparation and submission of reports.

·         Support the Grants and Reporting Department to produce high quality program reports as per donor and AAH requirements by providing high quality editing and formatting skills.

3.            Partnerships Management

·         Assist in preparation and review of grant agreement documents, including sub-agreements, teaming agreements and memoranda of understanding

·         In conjunction with the grant management team, perform due diligence checkups on partners who work with AAH in consortium and provide recommendations that addresses risk mitigation strategies.

4.            Donor Compliance

·         With the support of Grants and Reporting HoD, Review Partnership and teaming agreements and support in  coordinating their reviews with relevant focals.

·         Support that grants are implemented in compliance with AAH and relevant donors regulations.

·         Support in maintaining and updating accurate grant files.

5.            Documentation, Archiving and Other tasks as assigned

·         Support the development and maintenance of a comprehensive information management and filing system that ensures all grants documents (contractual documents, reports, key correspondences, etc.) are appropriately filed in up-to-date and consistent soft and hard libraries available as needed

·         Uploading proposals and reports on different donors portal depending on the donor and make sure these portals are updated with latest information.

·         Participate and take minutes of the country management meeting when necessary.

·         Other tasks that may be assigned by the line manager.

Job Requirements

Educational / Professional Background 

–         Degree in International Relations, Development Studies, Project management, Humanitarian Action, Accounting and Finance or other related social sciences.

–         4 and above years previous work experience in report writing and or working in the field of Development and Humanitarian,

–          Experience in report writing with good command of English language.

–         Prior work experience in both Humanitarian and Development contexts

–         Strong track record of budget and financial analysis in project cycle management

Required skills and Competencies:

–         Strong organization skills, rigorous, analytic and details oriented.

–         Prior knowledge of donors guidelines : ECHO, EU, OFDA, UNOCHA, SIDA, WFP, UNHCR, BPRM is added advantage

–         Demonstrated experience in donor reporting.

–         Excellent financial analysis

–         Flexible and adaptable.

–         Proficiency in written and spoken English;

–         Computer literate: good command in Microsoft office (MS. Word, MS. Excel and MS Power point).

–         Strong understanding of project cycle management, monitoring, and evaluation.

–         Interpersonal skills: communication, autonomy, organizational skill, creative and innovative thinking, planning.
