HR Payroll Associate  

Job Description

We are currently seeking an experienced and talented individual to fill the position of Human Resource Payroll and Disciplinary Associate, at our Headquarters office in Kakamega. Below are the details for the position:

Roles

General HR Administrative roles.

  • Be in charge of the Human Resource hotline and track all reported cases via the Hotline and share summary monthly reports
  • Maintain correspondence on our HR Wiki page Feedback portal, track reported cases and actions taken
  • Keep track of all staff grievances and any needed appeals that may take place in liaison with the Human Resource Manager.
  • Maintain HR case tracker database, providing detailed status report.
  • Work in liaison with the Human Resource Manager and offer Administrative support when handling disciplinary cases.
  • Maintain soft copy filing system for all disciplinary cases handled at the Headquarter office
  • Provide needed documentation to the legal team for filing purposes.
  • Provide support and relevant documents as may be requested for HR Audit.
  • Provide periodic reports to the County Labor office in liaison with the Huma Resource Manager on staff engagement and exit.

Payroll Administrative support

  • Timely and accurate preparation of HQ payroll changes, review and ensure accuracy of approved changes, track and deduct all staff advances and other special payroll deductions.
  • Carry out level 1 QC on HQ/Field payroll changes in liaison with the Payroll Senior Administrator
  • Coordination efforts between payroll, human resources and other departments to ensure proper flow and maintenance of employee data

Farmers First

  • Establish / maintain employee records; ensure that employee changes are entered correctly and made on timely basis; review changes for proper authorization.
  • Processing One Acre Fund loans in liaison with Benefits Officer before submitting the loan request for processing.
  • Drafting Correspondence letters/emails to HELB, Banking Institutions etc.
  • Compiling and recording all payroll queries and submitting them to Payroll Admin.
  • Provide effective support &timely submission of statutory dues and compliance with the organization’s HR policies plus receipt filing.
  • Payroll filing and documentation of monthly payroll changes
  • Printing monthly pay slips and ensuring distribution within timelines
  • Follow policies and confidentiality dictations to safeguard data and information

Job Requirements

  • Minimum of 2 years’ Experience in Human Resource Management is mandatory.
  • Minimum of Diploma in Human Resource Management from a recognised institution.
  • Member of IHRM
  • Excellent computer skills with proficiency in excel and power point.
  • Conversant with labour laws
  • Relevant experience in basic payroll management will be an added advantage
  • Discreet and able to handle confidential information of both staff and the organisation
  • Excellent problem solving/judgment skills and high level of attention to detail and accuracy
  • Strong organizational skills and ability to work under pressure
  • Ability to handle and prioritize multiple tasks and meet tight deadlines with minimum supervision
  • Good numerical skills
  • Quick learner and team player
  • Excellent written and verbal communicator
  • A strong sense of ethics, honesty and integrity
  • Be willing to reside in Kakamega, Kenya

One Acre Fund is a nonprofit organization that supplies smallholder farmers in East Africa with asset-based financing and agriculture training services to reduce hunger and poverty. Headquartered in Bungoma, Kenya, the organization works with farmers in rural villages throughout Kenya, Rwanda, Burundi, Tanzania, Uganda, and Malawi.

Using a market-based approach, One Acre Fund facilitates activities and transactions at various levels of the farming value chain, including seed sourcing and market support. In 2015, farmers who worked with One Acre Fund realized a 300% return on their investment and significantly increased farm income on every planted acre.

One Acre Fund offers smallholder farmers an asset-based loan that includes: 1) distribution of seeds and fertilizer; 2) financing for farm inputs; 3) training on agriculture techniques; and 4) market facilitation to maximize profits. Each service bundle is around US$80 in value and includes crop insurance to mitigate the risks of drought and disease.

To receive the One Acre Fund loan and training, farmers must join a village group that is supported by a local One Acre Fund field officer. Field officers meet regularly with the farmer groups to coordinate delivery of farm inputs, administer trainings and to collect repayments. One Acre Fund offers a flexible repayment system: farmers may pay back their loans in any increment at any time during the growing season. Beyond their core program model, One Acre Fund also offers smallholder farmers opportunities to purchase additional products and services on credit. These include solar lights and reusable sanitary pads.
