Title: Hub Admin/ Receptionist

TEAM/PROGRAMME: Program Operation, Cairo Field Office

LOCATION: Cairo (Nasr City Hub)

GRADE: 6

CONTRACT DURATION: One year, renewable

CHILD SAFEGUARDING:

Level 3: the post holder will have contact with children and/or young people either frequently (e.g. once a week or more) or intensively (e.g. four days in one month or more or overnight) because they work country programs; or are visiting country programs; or because they are responsible for implementing the police checking/vetting process staff.

ROLE PURPOSE:

The hub admin/receptionist will be responsible to coordinate the daily hub activities among the different projects operating in the same hub; in addition to arranging interviews with beneficiaries, interpreters schedule, office management, required logistics and administrative tasks.

SCOPE OF ROLE:

Reports to: Directly to the Operation Officer with a dotted line to the Project Assistant

Staff directly reporting to this post: Cleaner, Guards and Interns

Role Dimensions: Close coordination among the different staff based in the office and 2 Case Management officers.

KEY AREAS OF ACCOUNTABILITY:

Project Implementation:

  • Support SCI team based in Nasr City Hub with all administrative and logistical tasks;
  • Responsible for the reception area at the hub and coordination of walk ins/ case assignment;
  • Responsible for coordinating between the different projects operating from the hub and activities taking place at the hub;
  • Responsible for scheduling interviews;
  • Responsible for coordinating interpreters’ schedules with the rest of the case management team;
  • Support the operation officer in managing petty cash;
  • Responsible for the office management of the hub, ensuring main office and kitchen supplies are available
  • Provide supervision over the role of the cleaner and security guard;
  • Support administrative tasks related to interns at the hub such as filling and submitting their timesheets;
  • Support the operation officer in organizing trainings, workshops, open days and other events in the field, as deemed necessary;
  • Supporting the Child Protection Officer in child protection services as needed;
  • Conduct any other tasks requested by Project Manager.

Reporting and documentation:

  • Establishing and maintain the project’s information management system and archive;
  • Maintaining proper inventory records of project material and publication;
  • Report weekly to line manager on task updates.

QUALIFICATIONS

  • Relevant university degree with a minimum of 1-2 years of successful experience in project implementation with a reputed organization or NGO.

EXPERIENCE AND SKILLS

  • Previous experience working in a front-desk role, is a must.
  • Previous experience in dealing with different nationalities and ages, is preferable.
  • Good knowledge and familiarity of reporting mechanisms and styles.
  • Good knowledge of child safeguarding.
  • Highly developed interpersonal and communication skills including influencing and negotiation.
  • Excellent Computer literacy (word and excel)
  • Excellent working knowledge of English and Arabic (reading and writing) is a must.
  • Commitment to Save the Children values.
