ROLE PURPOSE

Plan International is an independent child rights and humanitarian organisation committed to children living a life free of poverty, violence and injustice.

In the past three years Plan International Kenya has grown its portfolio.  Operating in more than twelve counties and with a robust Nairobi urban programme, there is a growing diversity of contracts and grants as well as projects funded by the child sponsorship programme.  Increasingly Plan International Kenya is changing its modality to work with and through local civil society partners as well as with government and in public-private partnerships.

With a global strategy in place, Plan International Kenya’s projects need to reflect this new ambition of supporting the rights of girls and equality for children to ensure that they lead, learn, decide and thrive. Our thematic area of focus will be on child protection, girls’ empowerment, child and maternal health, education, youth employment and economic opportunities as well as disaster risk management.

This is  4 Months Maternity Cover (Starting 1st March 2020 – 30th June 2020)

ACCOUNTABILITIES

  • Employee Records

  • Updating staff records in the HRIS including incoming staff, movement and terminating.
  • Updating all staff leave records in the HRIS.
  • Filing employee documents for ease of retrieval

  • HR Administration

  • Ensure HR staff are well equipped with necessary resources for day to day running of the office
  • Organizing and coordinating all HR related meetings and taking minutes.
  • Facilitating processing staff identification  cards for new staff
  • Managing all incoming and outgoing HR mails as required.
  • Facilitating staff clearance process

  • Recruitment

  • Follow up on contract renewals from Line Manager
  • Receive request to recruit forms for Temporary  Staff and ensuring they are fully authorized.
  • Assist in sending approved vacancy announcements to Daily Newspapers, upload vacancies to websites and share them widely.
  • Supervise written tests in consultation with the HR Coordinator Recruitment.
  • Compile documents in respect of the selected candidates from the panelist and ensure complete acknowledgement (appended signatures) of interview notes. Support the HR Coordinator, Recruitment in preparing Recruitment packs
  • Support the HR Coordinator, Recruitment to conduct reference requests and background checks of successful candidates.
  • Support the HR Coordinator, Recruitment to conduct send out employee information pack to successful candidates.
  • Send out the Pre- employment checklist to successful candidates ensuring they provide relevant documentation prior to reporting date

QUALIFICATIONS AND EXPERIENCE

  • Professional qualification in Human Resource Management (degree or post-graduate Human Resource Management).
  • Minimum of 1 year experience in a busy office preferably in from INGO.
  • Demonstrated experience in HRIS.
  • Demonstrated attention to detail, ability to follow procedures and meet deadlines
  • Demonstrated ability to effectively work in teams in different locations in a high pressure environment.
  • Good communication skills (Verbal and Written)
  • Proficiency in Microsoft Office packages
  • Willingness to comply with the requirements of Plan International Safeguarding Policy and other Global Policies.

Plan International is an international organisation or development which works in 51 countries across Africa, the Americas, and Asia to promote the safeguarding of children.It is a nonprofit organisation and is one of the world's largest organisations based on children, it works in 58,000 communities with the help of volunteers to improve how 56 million children live. The charity also has 21 national organisations who have been given the responsibility to oversee the raising of funds and awareness in their individual countries.

The organisation puts an emphasis on communities working together in order to address the needs of children around the world. The NGO focuses on child participation, education, economic security, emergencies, health, protection, sexual health (including HIV), and water and sanitation. It provides training in disaster preparedness, response and recovery, and has worked on relief efforts in countries including Haiti, Colombia and Japan.

Plan International also sponsors the Because I Am a Girl campaign, which has published many stories focusing on the struggle of young women in the developing world.

Plan International was founded during the Spanish Civil War by British journalist John Langdon-Davies and aid worker Eric Muggeridge. When they witnessed the conflict change the lives of children, they founded ‘Foster Parents Plan for Children in Spain’, which would later change its name to Plan International. Set up in 1937, the organisation provided food, shelter and clothing to children whose lives had been destroyed by the war.
