Position: Information Management Officer, Grants
Report to: Operations Manager
Location: West Nile, Uganda
Purpose of the position:
The position will administratively back-stop implementation of Grants that contribute to the attainment of Child well-being outcomes to ensure quality and compliance with WV and Donor regulations.
The incumbent will systematically collate, analyze and interpret the relevant grants data from across the response and provide period reports for all grants to advise management decisions in a timely manner.
Major Responsibilities:
Coordination of implementation of Grants
- Facilitate timely project Startup and closeout meetings
- During orientation/startup, coordinate induction of project officers on new grants on specific programming processes and products
- Support P&C to conduct timely recruitment of grants staff.
- Procurement start up for grant projects
Capacity Building for Quality Programming
- Work closely with technical teams to identify capacity gaps of the project staff, on specific grants operational requirements
- Support capacity building of staff on specific grants programming guidelines as per donor specifications
Projects Monitoring and Reporting
- On a monthly basis, monitor grant projects implementation to ascertain that project implementation is timely and that the budgeted resources are utilized appropriately as per project design document and donor standards;
- Develop and maintain an updated grant matrix for all grants and PNS projects to aid in effective management of project data.
- Timely notification to management, donors and SOs of any significant milestone changes in any grant
- In conjunction with the project managers and area coordinators ensure timely and quality reporting of all grant and PNS projects (quarterly, semi- annual milestone and annual reports) according to the donor expectations.
- Hold quarterly progress review and learning meetings with key grant staff and representatives from support services
- Participate in monthly finance review meetings (to ascertain that project implementation is timely and that the budgeted resources are utilized appropriately as per project design document and donor standards
- Coordinate joint planning, regular field monitoring visits to projects to ensure timely and quality implementation, coordination of visits with SOs and donors in liaison with communications team
- Coordinate timely execution of baseline surveys, project assessments and scheduled evaluations for grants
- Coordinate timely input to the RRP platform
- Take responsibility to update the ReD (Response Dashboard)
- Work with communications and sector leads in compilation of Sitrep
Sustained donor and SO engagement
- Ensure SO and donor queries and requests are met in a timely way.
- Communicate and seek necessary approvals to changes in projects as per donor guidelines
Resource Acquisition, networking and engagement
- Provide information to grants acquisition to preposition for grants and PNS opportunities to continue existing ones
- Support GAM and sector teams to preposition for grants, develop concepts and proposals by facilitating provision of information from current projects and areas of operation.
- Occasionally participate in interagency/coordination meetings
Information Management
- Implement and regularly update the Information Management Strategy and the Dissemination Plan for all information management related products produced by the relevant sector or agency.
- Conduct needs and gap identification for the relevant sector.
- Develop an information-sharing platform as a web-portal
- Provide advice and council concerning information management issues and industry trend to Senior Leadership and Project Leads.
- Any other duties assigned.
Qualifications: Education/Knowledge/Technical Skills and Experience
- Bachelor’s Degree in Information Technology or related studies from a recognized university. Post graduate training in project management or any of the related fields will be an added advantage
- Must have at least 7 years’ experience working in a Not for Profit organizations or related agencies.
- Must possess at least 3 years’ experience in management of donor programmes and projects in multiple sectors, either Education and Child Protection; Livelihoods and Resilience; Emergency Response, Water, Sanitation and Hygiene or Health generally
- Proficiency in Computer especially in Microsoft Office Suite and data analysis programs such as SPSS, Stata, EPI Info. Excellent skills in Microsoft Excel is a must have.
- Possess excellent communication, facilitation, networking and relationship building skills
- Possess excellent writing skills in English.
- Possess reasonable experience in fundraising / donor resource mobilization processes
- Ability to maintain donor relations through timely and appropriate communications
- Must be a self-starter who is able to work under stress and with minimum supervision.
- Ability to influence multi-sectoral teams towards a given goal.
- Possess excellent knowledge of the Humanitarian Development Field
