PRIMARY FUNCTION/PURPOSE:
The Logistics and Administration Coordinator will provide office administrative support to the IFES-Ethiopia field office.
MAJOR DUTIES AND RESPONSIBILITIES:
- Prove logistic support to international and domestic travels, such as arranging lodging and local transportation;
- Assist with procurement and logistics for project events, such as conferences, workshops, seminars, luncheons and meetings;
- Support the preparation and assembly of briefing materials;
- Maintain calendar of events;
- Assist the Finance and Administrative Manager in the preparation of expense projections and monthly cash requests;
- Work with Finance and Administrative Manager to compile Field Expense Reports (FERs) with proper supporting documentation according to IFES’ guidelines;
- Maintain daily book keeping of project funds;
- Assist the Finance and Administrative Manager in preparing regular petty cash and bank reconciliations;
- Prepare procurement documentation of goods and services for project activities as directed by the Finance and Administrative Manager;
- Photocopy, file and mail documents;
- Become familiar with IFES and donor rules and regulations;
- Other duties as assigned.
Job Requirements
EDUCATION and QUALIFICATIONS
- Bachelor’s degree from an accredited university.
- Minimum of 2 years of experience, preferably working with
SKILLS and SPECIFICATIONS
- The ability to remain organized while handling multiple tasks under tight deadlines;
- Ability to complete tasks with supervision;
- Excellent communication skills in order to be able to work with IFES program and administrative staff to identify and resolve issues;
- Must value operating in a collaborative and cooperative environment;
- Ability to show initiative, good judgment, and resourcefulness.
LANGUAGE SKILLS: Proficiency in English and Amharic required.
TRAVEL: Travel within the country may be required.
