PRIMARY FUNCTION/PURPOSE

The Logistics and Administration Coordinator will provide office administrative support to the IFES-Ethiopia field office.

MAJOR DUTIES AND RESPONSIBILITIES:

  • Prove logistic support to international and domestic travels, such as arranging lodging and local transportation;
  • Assist with procurement and logistics for project events, such as conferences, workshops, seminars, luncheons and meetings;
  • Support the preparation and assembly of briefing materials;
  • Maintain calendar of events;
  • Assist the Finance and Administrative Manager in the preparation of expense projections and monthly cash requests;
  • Work with Finance and Administrative Manager to compile Field Expense Reports (FERs) with proper supporting documentation according to IFES’ guidelines;
  • Maintain daily book keeping of project funds;
  • Assist the Finance and Administrative Manager in preparing regular petty cash and bank reconciliations;
  • Prepare procurement documentation of goods and services for project activities as directed by the Finance and Administrative Manager;
  • Photocopy, file and mail documents;
  • Become familiar with IFES and donor rules and regulations;
  • Other duties as assigned.

Job Requirements

 EDUCATION and QUALIFICATIONS

  • Bachelor’s degree from an accredited university.
  • Minimum of 2 years of experience, preferably working with

SKILLS and SPECIFICATIONS

  • The ability to remain organized while handling multiple tasks under tight deadlines;
  • Ability to complete tasks with supervision;
  • Excellent communication skills in order to be able to work with IFES program and administrative staff to identify and resolve issues;
  • Must value operating in a collaborative and cooperative environment;
  • Ability to show initiative, good judgment, and resourcefulness.

LANGUAGE SKILLS:  Proficiency in English and Amharic required.

TRAVEL:  Travel within the country may be required.
