IT and Administration Manager

Responsibilities:

  • Technical Support – liaise with IT team to ensure timely provision and/or coordination of technical support
  • Management and control of assets/inventory database ensuring it’s up to date, tagging & numbering of assets and physical verification
  • Work with IT team in-country, regional and HQ to ensure robust network administration including new user e-mail set-up, network account set-up etc
  • Liaise with IT to identify areas where users can be trained to improve computer literacy and security as well as assist users as needed in trouble shooting IT issues
  •  Responsible to ensure optimal internet connection in the office with minimal downtime, adequate speeds and liaises with vendors regarding all Internet equipment and systems issues
  • Ensure there is proactive and superior customer service provided by IT, Admin and procurement departments
  • Ensure the procurement & Logistics officer is adhering to FHI360 processes with regard to preparation and approval of procurement packs
  • Ensure adequate procurement management and work with procurement team to have necessary SLA’s in place and well stored digitally
  • Enhance administration and Ensure effective facilities’ management as well as rental agreements being properly maintained and amended where necessary by ensuring apt database of all contracts;
  • Liaise with the landlord and building manager to ensure that the building is maintained to guarantee a conducive working environment;
  • Regularly review and renew office machine rental agreements where necessary;
  • Ensure that insurance company holds sufficient cover for all assets;
  • Support the admin team in efficient and better digitized vehicle fleet management reporting system
  • Support admin team to ensure efficient travel management processing and tracking;
  • Ensure an efficient cell phone management system is in place for tracking monthly usage and billing
  • Supervise the activities of the IT, Admin & procurement officers;
  • Ensure the safety and security requirements are in place as per FHI360 regulations and country OHS requirements
  • Work on coming up with IT based solutions for efficient admin and procurement processes
  • Ensure adequate vehicle fleet management including vehicle maintenance, insurance and log book management
  • Ensure effective cell phone management
  • Additional duties as required and assigned

Requirements:

  • Degree in Business Administration or equivalent, together with five years’ experience in office management, IT management certifications, procurement and administration within the NGO industry
  • Knowledge of general office practices and administrative procedures and/or the ability to comprehend them
  • Experience and knowledge of procurement and administration under US funded awards is advantageous
  • Relevant skills to manage servers under the common support frameworks
  • Resourceful through use of technology, research skills and collegial relationships to resolve problems and initiative enhancements
  • Relevant software skills: MS Office, in particular a good working knowledge of Outlook, Excel, Word and PowerPoint;
  • Abilities on technology, research skills and collegial relationships to resolve problems and initiative enhancements;
  • Respond to enquiries independently and follow through on requests in an efficient manner;

With minimal supervision, manage high volume of work-flow efficiently as well as be an effective supervisor;
