Position Title:             Office Maintenance – Attendant

Purpose of the Position

The Office Attendant performs a wide range of responsibilities that are covered by her/ his maximum qualifications and competencies. She/he performs office support including cleaning of the office, movement of furniture and equipment, files, photocopying/binding, etc. when found necessary.

Job Responsibilities

  • Watches the office building/stairs as necessary and if there are concerns that require immediate attention directly perform or advise manager/supervisor about the issue;
  • Opens the office gate and lets in/out employees and authorized visitors during the day;
  • Checks and ensures that all property to be taken out of the compound is accompanied by an authorized gate pass and share gate passes to security company guards.
  • On a daily basis ensure that gate passes are collected from company guards; follow up the return of items that leaves the organization for maintenance purpose.
  • Assist in safeguarding, protection and proper use of office equipment, office facilities and inform the appropriate personnel of any concerns or issues timely for appropriate action.
  • Receives messages and mail and keeps safely in absence of the receptionist and delivers them to the relevant person during office hours;
  • Assist visitors while the receptionist/her replacement is not around.
  • Closely work with company security guards in welcoming/accompanying visitors to the place visitors mentioned; check the availability of staff first and it’s after approval that accompaniment takes place.
  • Assist the receptionist in handling visitors and issuing them with visitor’s badge and direct/usher them to the proper sources in order to address their concerns.
  • As instructed by the supervisor assist departments with their need; it could be performing the movement of furniture and equipment, office supplies, files, making photocopies/binding, etc.
  • Replace cleaner at the time of leave and perform required cleaning service to the standard.
  • Assist in preparation of conference rooms for any meetings, training or event.
  • Report any observations of irregularities in safety and security issues/breaches, such as broken windows, faulty electric lines, water leakages, etc. to immediate supervisor/concerned individual.
  • Assist in fixing minor repair issues in the toilet, bulb change and the like when necessary.
  • Ensure/watering of all plants on the corridors
  • Ensures fire extinguishers put on each floor are in their place all-time and checks its expiry date and inform supervisor
  • Perform other duties as found necessary and as instructed.

Job Requirements

Education and Experience

  • Completion of 10th grade
  • 1 year of relevant experience is required

Personal Skills:

  • Skill Knowledge of security methods and techniques
  • Knowledge of CRS/ET’s security regulations and procedures
  • Ability to detect and avoid probable danger
  • Ability to work effectively with people
  • Ability to follow oral and written instructions
  • Skill in the use of security devices
  • Interpersonal skill
