mothers2mothers (m2m) is an Africa-based NGO that unlocks the potential of women to eliminate paediatric AIDS and create healthy families across ten sub-Saharan African countries. m2m trains, employs, and helps empower women living with HIV to work as community healthcare workers in understaffed health centres and underserved communities. Through a peer-to-peer approach, these ‘Mentor Mothers’ deliver a range of health services, advice, and support to women and their families. Started in Cape Town, South Africa in 2001 with an initial focus on preventing mother-to-child transmission of HIV, m2m has innovated and built on its strengths and now provides family-centred support for a range of related health and social issues spanning pregnancy, birth, childhood, and adolescence. It also partners with governments and other NGOs on the adoption of its programme to spread the Mentor Mother Model and its benefits. m2m has a track record of scaling its services and proven impact. The role of the Program Assistant is to assist in the implementation of m2m activities. The Program Assistant will be working closely with all Program Managers of the organisation, including Technical Assistance, Direct Service Delivery, Adolescent, Paediatric and IDPs to facilitate the smooth progress and completion of the program.
Key Performance Areas
Project Planning
- Manage development, finalisation, updating, and continuous review of project and country work plans.
- Develop, manage, and monitor project start-up plans
- Participate in team planning meetings and ensure that technical members allow enough time for adequate preparation of activities.
- Assist Program officers (Senior PMTCT) in updating the activities, as well as ensuring activities are implemented within schedule as much as possible
- Participate in weekly program support team meetings led by Senior PMTCT Advisor to review tasks, share workload across the team and facilitate planning
- Backstop country programmes to ensure they receive a full complement of operational and implementation support to ensure programme excellence and target achievement.
Documentation and report
- Develop reports, presentations, and other communications materials for projects
- Contribute to the development of concept notes and proposals.
- Manage country inputs, write donor reports for cross-cutting projects, copy edit, and support the development of other project reports.
- Document project successes, challenges, and lessons learned for internal and external dissemination.
- Initiate follow-up actions after regular cluster meetings and country-focused check-ins.
- Monitor award compliance in coordination with relevant program managers/ departments.
- Document and sharing best practices.
- Identify and document research needs
- Conduct small operational researches
Filing and other tasks
- Perform other duties as assigned by PMTCT Senior Technical Advisor
- Represent m2m with external stakeholders, where necessary
- In collaboration with the Programmatic team support the organization and management of site visits for donors, funders and other stakeholders.
- Draft letters as assigned
- Maintain file as directed by the Programs and Technical Support team
Competencies:
- Excellent inter-personal ability
- Excellent writing, editing, and grammar skills in Portuguese with the ability to plan and coordinate multiple tasks in different provinces;
- Proficiency in Microsoft Office, including Access, Excel, Word and PowerPoint
- Proficiency in Statistical packages including STATA
- Excellent communication skills, both written and verbal in English
- Strong project management and research skills
- Proficiency in computer and word processing skills and familiarity with translation software
- Ability to successfully work across departments under an international NGO structure
- Ability to multi-tasking and meet deadlines in a demanding, fast-paced and rapidly changing environment
Qualifications and Experience:
- Minimum Bachelor’s Degree in public health, social sciences, or related field.
- Master’s degree in public health or policy advantageous.
- Two years’ experience in program support in a comparable position
- Excellent Portuguese language skills, strong English skills a plus
