PATH in Senegal is seeking an experimented and bilingual Program Assistant to provide project management and logistics support for the Supply Systems and Equipment activities in Senegal, for a fixed term employment of 1 Year.

 Specific duties and responsibilities

  • Prepare and coordinate the production and distribution of complex documents, including proposals and reports of the Supply Systems and Equipment (SSE)
  • Draft, edit, format, fact-check, and proofread a variety of documents and enter data using Word, Excel, and other software.
  • Assist as necessary in translation of some SSE documents in English or French
  • Participate in important SSE global skype/phone meetings and share notes with all SSE staff
  • Assist the SSE lead to Manage the team meeting calendar and follow up on key action as agreed
  • Assist SSE senior program staff and team members in Dakar with travel arrangements, teleconferences (multiple time zones), and complex schedule coordination.
  • Follow up on key SSE project tasks as necessary with external partners including the cabinet of the MoH, the EPI….
  • Coordinate arrangements for guests, meetings, conferences, workshops, and other events.
  • Utilize Microsoft Outlook calendars to coordinate complex scheduling tasks.
  • Schedule team meetings and draft agendas
  • Maintain project records, electronic files, and other resources on behalf of team members.
  • Assist with completion of administrative forms, including supply request forms, check requests, and reimbursement forms.
  • Collaborate with staff throughout the organization to gather information.
  • Ensure participants payment in the field during workshops or trainings activities.
  • Willing to travel in field missions with Program leaders.

Required Experience

 Required Skills and Experience :

  • Excellent formatting, editing, and proofreading skills.
  • Excellent oral and written communications skills in English and French
  • Strong desk/online research and fact-checking skills.
  • Strong interpersonal and organizational skills.
  • Proven ability to take initiative, learn quickly, anticipate needs and challenges, and find solutions.
  • Demonstrated success working with all levels of internal and external stakeholders.
  • Ability to prioritize and effectively manage time, tasks, and responsibilities.
  • Demonstrated success working effectively while under deadlines.
  • Flexibility and adaptability to changing priorities.
  • Ability to work in team environment with minimal supervision.
  • Intermediate to advanced proficiency in Microsoft Office Suite, with particular skill in Word, Outlook, Excel, and PowerPoint, proficiency with Adobe Acrobat.
  • Bachelor’s Degree is required.
  • A minimum of 1-2 years of directly related administrative experience or an equivalent combination of education and experience.
  • Experience working in an international organization and/or in a multicultural environment is desirable
