Position: Project Administrator

Closing Date: 25 June 2025

Contract: 3-year renewable contract Location: Ibadan

DUTIES:

  • Coordinate and support the implementation of project plans and timelines.
  • Ensure timely submission of reports by following up with relevant project teams and stakeholders.
  • Liaise with headquarters to facilitate prompt execution of partner payments.
  • Assist in compiling, reviewing, and submitting donor reports in compliance with specified templates and guidelines.
  • Collaborate with the Program Accountant to ensure financial reports align with approved budget line items and are submitted on schedule.
  • Monitor project progress and provide regular feedback to Work Package Leaders, including recommendations on extensions, budget reallocations, and other necessary actions.
  • Support program operations by organizing, planning meetings, drafting reports, and managing follow-up actions.
  • Continuously track program activities, including action points, communication plans, and annual hub plans, and contribute to the preparation of annual and progress reports.
  • Maintain organized and efficient filing systems and databases for both print and electronic documentation related to program activities.
  • Collaborate with the Project Development and Administration Unit (PDAU) to develop partner contracts and sub-grants in alignment with donor agreements.
  • Serve as a liaison with HQ on policy matters related to project grants management, ensuring compliance by all program staff.
  • Uphold quality control standards and approval processes for all externally shared documents and submissions.
  • Manage the IITA Breeding donor pipeline, tracking systems, and related tools to ensure data accuracy and availability at all times.
  • Perform any other duties as may be assigned by the Supervisor.

Requirements

QUALIFICATION AND EXPERIENCE:

Master’s degree in Business Administration, Project Management, or a related field from a recognized higher institution.

Minimum of eight (8) years of relevant experience in project administration or coordination, with a proven track record of performing similar roles in a well-structured organization.

  • Have great attention to detail and ability to multitask effectively.
  • Have extensive knowledge of project management cycle and Oracle software.
  • Have strong problem-solving mind-set with a proactive approach.
  • Have ability to thrive under pressure to meet deadlines.

  • Have strong documentation, reporting and communication skills.
