Established in 1951, IOM is the leading inter-governmental organization in the field of migration and works closely with governmental, intergovernmental, and non-governmental partners. Responsibilities and Accountabilities
1. Handle a low value procurement process as per IOM manual IN/168.
2. Assist in receiving approved Purchase Requisition Form (PRF), copy and record in procurement tracking sheet.
3. Prepare and/or receive Purchase Requisition Form (PRF) and ensure that all necessary information’s concerning specifications, justifications, WBS and expected delivery dates are correct.
4. Regularly assist procurement unit in facilitating the signatory processes of procurement documents.
5. Coordinate with manual logistics clerk in e-filing of procurement documents and maintain proper archive and a timely submission to finance unit.
6. Copy and archive all procurement documents based on the purchase order and MIGO date in each month.
7. Assist the Senior Supply chain staff on reception of international consignments and cargo shipments and regularly update MS Teams.
8. Ensure proper management of office mini storage including, stocking of multiple items in a safe place and keep stock cards.
9. Conducting quarterly stationary items and other office supplies stock taking when the stock balance falls below the minimum reorder level. Ensure the balance on stock card record match the quantities of products in store.
10. Manage office storage in ground floor and keep it neat and clean all the time
11. Coordinate the water jar distributions as per the schedule and manage office storage in ground floor and keep it neat and clean all the time.
12. Support the Senior supply chain assistant in compilation of relevant reports on incoming consignments, mission warehouse and fleet management related reports.
13. Perform such other duties including logistics and supply management as needed.
Job Requirements
Required Qualifications and Experience
Education
- University Degree in Business Administration, Procurement and Logistics or alternatively, a combination of related education and experience in this field
Experience
- Minimum of 3-years’ experience for Degree and in Logistics and Supply work
- Minimum of 9-months’ consecutive service in IOM with 1st Degree
- Experience with International Organizations & NGOs is desirable
- Demonstrated ability of working effectively and harmoniously with colleagues from varied culture and professional backgrounds to achieve desired goals.
- Analytical, communication, interpersonal and advocacy skills,
- Good knowledge of computer management and applications.
Languages
- Fluency in English & Amharic is required
- Knowledge of local languages is advantageous.
