Context:

Under the overall supervision of the Regional Director (RD) of the IOM Regional Office for the Middle East and North Africa in Cairo, and the direct supervision of the Senior Regional Liaison and Policy Officer, the successful candidate will be responsible for providing overall administrative and programmatic support in the day-to-day functions of the staff of the IOM Regional Office for the Middle East and North Africa.

Core Functions / Responsibilities:

  1. Develop presentations, concept notes, talking points and background documents required for meetings, conferences, workshops, or other respective events, inclusive of donor coordination and partner interventions.
  2. Coordinate, draft and edit institutional documents and requests in coordination with the Regional Thematic Specialists and the Senior Regional Liaison and Policy Officer.
  3. Support the Regional Office’s public information activities, including compiling relevant information about migration and IOM’s work to respond to requests for information, producing public information materials, and contributing to social media and web presence (including in Arabic), in collaboration with the Regional Media and Public Information Officer, the Senior Regional Liaison and Policy Officer, and relevant Regional Thematic Specialists.
  4. Assist in the planning and coordination of internal and external events, such as conferences, meetings, workshops, and teleconferences, including all administrative and logistical arrangements in close coordination with procurement and logistics staff and the Senior Administrative Assistant to the RD.
  5. Assist with travel requests, and follow up with travel expense claims, purchase requisitions, payment requests, letters of invitation, and bids.
  6. Coordinate with country offices, headquarters and regional offices on respective queries, compilation of requests, and/or organization of regional events.
  7. Support and maintain a repository of compiled requests/policy briefings to enhance knowledge management to quickly support queries from the field.
  8. Assist with informal translations from Arabic to English, and English to Arabic, on correspondences with partners, interpret as required in meetings, and support in maintaining and following up with counterparts and partner agencies for coordination of new initiatives.
  9. Update and maintain the project tracking sheet and other tracking systems including timelines for donor reports, in coordination with the Regional Thematic Specialists.
  10. Perform such other duties as may be assigned.

Required Qualifications and Experience

Education

· Bachelor’s degree in Political or Social Sciences, Development Studies, International Relations and or Business Administration from accredited Institution with three years of professional experience; or

· High School degree in above field from accredited Institution with five years of relevant professional experience.

Experience

· High level of computer literacy (MS Office Word, Excel and Outlook);

· Experience in managing administrative, logistical and organizational tasks;

· Proven drafting and editing skills; experience in drafting and preparing clear and concise correspondences;

· Experience working in an international organization an advantage;

· Knowledge of migration issues an advantage.

Languages

Fluency in English and Arabic is required. Working knowledge of French is an advantage.
