DRC has been operating in the West Africa region for over 15 years, running a combination of emergency, livelihood, protection and advocacy programmes through Country Offices (COs) Guinea, Liberia, Ivory Coast, Mali, Burkina Faso, Niger, Nigeria and a Regional Office (RO) in Abidjan. DRC has 17 offices and more than 500 staff members across the WA region.

DRC started operating in Nigeria in 2015 where plans to run a combination of emergency, livelihood, WASH, protection and advocacy programmes has been set. DRC currently has offices in Abuja, Yola, Mubi, Maiduguri and planning to run an office in Yobe, besides 50 staff members subject to increase in near future.

The position

Roving Admin Assistant will be responsible for all Administrative roles in Borno and Yobe state while reporting to HR Officer. The position is based in Maiduguri with frequent (50-75%) travel to BAMA, NGALA, MAFA Damaturu and other locations as needed.  Roving Admin Assistant works closely with the HR Assistant in Maiduguri to ensure that Human Resources and Administration is run efficiently and effectively to support the growing Program needs in Borno and Yobe state.

  1. Responsible for ensuring the sign in and out procedure is followed, meanwhile, at the end of the month, printing, verifying that staff are coming to work as per the HR Manual guideline – highlighting any concern to HR Officer.
  2. Responsible for tracking all the lease agreements including for Guest Houses, Offices, warehouses etc; manage and timely renew office and Guest house rental agreements including updating the spreadsheet detailing start date for each lease agreement, end date and alerting HR officer as necessary.
  3. Ensure proper tracking and appropriate filing systems for office correspondence and personnel files documentation.
  4. Work closely with the Logistics team to ensure better planning is in place for purchasing office supplies quarterly and track the appropriate usage of the office supplies providing monthly accountability reports to the HR Officer, Maiduguri
  5. Receiving and managing hotel and Humanitarian HUB bookings including following up that the payment is made in time
  6. Receiving and booking UNHAS Flight bookings as necessary
  7. Receiving and booking meeting rooms requests
  8. Assist with taking minutes of the events/meetings? if required.

Key Requirements

Essentials

  • At least one year work experience in Administration in an NGO/Commercial sector.
  • Knowledge of principles and practices of basic office management
  • Excellent communications skill.

Desirables

  • Hands-on experience/skills in MS Office applications
  • knowledge of operation of standard office equipment.
  • knowledge of clerical and administrative procedures and systems such as filing and record keeping

Protection: Advocacy for the rights of displaced people in their context of displacement, child protection initiatives, individual protection assistance based on vulnerability, legal aid, land & property rights, sexual and gender-based violence prevention, registration services for the internally displaced and refugees, monitoring of rights and rights awareness-raising, facilitation of return and repatriation processes.

Income Generation: Business training and SME development, business grants, life-skills training, literacy and numeracy training, vocational training, micro-credit loans, savings groups, group enterprise development and facilitation.

Coordination & Operational Services: Coordination and management of refugee and IDP camps, active participation in UN cluster coordination, humanitarian surveys and studies, facilitation of NGO Networks focused on displacement solutions, capacity development, training and support to local NGOs, secondment of experts to UN emergency operations worldwide

Community Infrastructure & Services: Provision of physical infrastructure like roads, bridges, community centres, irrigation systems or other community structures, facilitation and training of infrastructure management groups at community level, facilitation and funding of community development plans, initiatives for disaster risk reduction at community level.

Humanitarian Mine Action: Manual or mechanical mine clearance, clearance of former battle areas, education for affected communities – with special focus on children on how to avoid harm from mines and UXO, surveys of expected and confirmed mined or UXO areas, explosive ordnance disposal and stockpile destruction, capacity building of national demining institutions.

Armed Violence Reduction (AVR): Education in procedures for safe storage and safe handling of small arms and light weapons (SALW), capacity building of institutions for safety, local and community level conflict management and mitigation.

Water, Sanitation & Hygiene (WASH): Emergency water supply, hygiene item distribution, hygiene information and education, construction of latrines, installation water points, wells and water storage. Water purification.

Education: Education grants and fee support, school feeding programmes, teacher training and support, school materials provision and construction or rehabilitation of school structures.
