General Duties and Responsibilities

General Duties

The Project Secretary/Cashier will be responsible for ensuring the smooth running of the office of the Ethiopian Veterinary Association, Project Management Unit (PMU) and cash handling of the Project. The post holder will report directly to the project coordinator (Project Accountant) and when requested to the general manager.

Key Responsibilities

  • Maintaining a file system which will allow easy retrieval   of all incoming and outgoing mail of the Association and the PMU;
  • Managing distribution of incoming mail and submission of all outgoing mail;
  • Assist in the administration of all personnel matters the Association and PMU;
  • Participate in all management meetings and preparation of minutes of meetings and agenda for meetings;
  • Managing schedule of meeting for General Manager, Project Coordinator, and Financial Accountant
  • Management and disbursement of office supplies, stationary and equipment including store, record keeping and forwarding replenishment requests for procurement of the association and PMU;
  • marinating the asset register in cooperation with the Project Accountant and Project Coordinator;
  • Handling petty cash and accounting for all expenditure from this to the project Accountant of the project;
  • Maintain recruited staff files including records for annual leave and individual entitlements of the PMU;
  • Typing/editing letters, reports and other documents as necessary, as required by General Manager, Project Coordinator, Project Accountant and Purchasing and storing of materials, administering office equipment’s, stationeries etc;
  • Any other duties and administrative tasks that may be assigned from time to time by the General Manager and Project Coordinator.

Job Requirements

Requirements and Skills:

She/he shall have a BA Degree in Secretarial Science, Management Information System and Related

  • A minimum of 4 years’ and above experience of which 3 years demonstrated experience in office/project Secretary cashier including report –writing.
  • Advanced knowledge of MS office, Excel and internet.
  • Excellent communication and written and spoken English.
