REPSSI (Regional Psychosocial Support Initiative) is the leading African psychosocial support organisation. REPSSI has strong partnerships with governments (particularly the ministries responsible for social services, education and health), development partners, international organisations and NGOs in thirteen countries of East and Southern Africa.

REPSSI seeks to appoint a Senior Finance and Administration Officer to be based in Lusaka, Zambia.

Remuneration will be commensurate with skills and experience. REPSSI is committed to the principles of employment equity.

Report directly to the Country Director, Zambia and have direct line-management responsibility for Finance and Administration Officer as well as the Office Assistant.

The purpose of the Senior Finance and Administration Officer is to supervise and perform all financial and administrative functions for the REPSSI Zambia Office as well as provide support to the human resource department based in South Africa in order to ensure the effective operation of the country programme and mitigate organizational risk and facilitate achievement of REPSSI goals.

Responsibilities:

  • Provide effective and efficient Finance and Administrative support for the Country Office to ensure the effective operation of the Country Programme in order to mitigate the organisational risk and facilitate the achievement of REPSSI goals through proper planning, accounting and reporting, cash and foreign currency management as well as statutory matters
  • Financial management, budgeting and financial reporting
  • Lead the country office in the preparation of proposal budgets to potential funding partners calling for proposals
  • Implement internal financial controls in compliance with the organizational accounting policies and procedures
  • Lead the facilitation of audit requirements including ensuring required statutory and donor audits are completed in accordance with local and donor requirements
  • Provide leadership and mentorship to the finance and administration team
  • Human resources administration support which includes maintaining updated personnel files and leave management
  • Oversee and support logistical arrangements for travel and workshops
  • Oversee the procurement of goods and services to ensure compliance with the organisational accounting policies and procedures
  • Manage the payroll and ensure timely payment of staff salaries and ensure that statutory returns are completed and submitted by no later than the gazette dates
  • Asset management, which includes ensuring that the purchase of assets meets procurement guidelines and maintaining the asset register
  • Conduct general office administration, including ensuring access control and security of the REPSSI office
  • Coordinate training requests from partners in Zambia
  • Oversee maintenance of IT equipment, and liaise with the IT Department and supporting IT consultants

Requirements

  • AAT Diploma in Accounting and ACCA Part II
  • Three to five years proven financial administration experience, in a supervisory role
  • Familiar with administering finances in a multi-funded NGO, donor funding and Income generating business
  • Multiple currencies reporting experience
  • Knowledge and experience of Pastel Evolution accounting software and proficiency in Microsoft office suite
  • Be professional, enthusiastic and a people orientated person with sound interpersonal
  • Organisational and time-management skills
  • An effective and efficient communicator
  • Be flexible and ability to multi-task under pressure with a customer service oriented friendly disposition at all times
  • Meticulous and strives for excellence in executing all tasks
  • Strong leadership capabilities and understand the dynamics of a small office environment
  • Ability to set ambitious targets and drive to exceed them
  • Ability to develop sales plans, monitor their achievement and provide timely analytic reports
  • Strong negotiation and selling skills
  • Strong people management skills
  • Financial acumen
  • Willingness to travel as required
  • Ability to work outside of conventional office hours, and across time zones
