Position Title : Senior Programme Support Assistant

Duty Station : IOM Windhoek, Namibia

Position Grade : G6 (UN Salary scale for General Services in Namibia)

Type of Appointment : Fixed term, one year with possibility of extension

Organizational Context and Scope

The Programme Support Assistant will work under the direct supervision of the Head of Office and guidance of the Regional Project Coordinator for the SAMM project based in the Regional Office, and in coordination with the Regional Research Officer.

Responsibilities and Accountabilities

  • In coordination with the Regional Project Coordinator, assist with the management of the project “Southern Africa Migration Management” including the collection of information, planning, preparing, organizing and implementing all aspects of the project activities at the country level.
  • Responsible for the collection of project information and compilation of project activities towards the development and preparation of SAMM annual workplan, project narrative reports and preparing of weekly progress updates on project activities.
  • Assist with in-house coordination among different sections of the project including the Resource Management and RMDHub Units and ensure proper documentation of project documents and filing.
  • Facilitate the organization and preparation of quality thematic training for the government as required by the project.
  • Assist in tracking project expenditures, preparation of monthly funding requests for the project activities, and raising purchase requisition forms for all related program activities.
  • Support liaison with relevant governmental and non-governmental entities, international organizations as well as other relevant stakeholders where necessary for effective implementation of the activities of the project.
  • Assist in the planning, preparation and implementation of training, seminars, conferences, workshops, meetings, presentations, and missions related to the project, and undertake duty travel when necessary.
  • Support the implementation of Monitoring and Evaluation through tracking of the agreed indicators for the implementation of the project.
  • Assist with the UKTB Project, USRAP and Canadian Project
  • Assist in drafting concept notes, press releases, meeting minutes, briefings and project proposals;
  • Perform any other duties as may be assigned

Required Qualifications and Experience

EDUCATION

Bachelor Degree in Political or Social Science, Business Administration, International Relations, Law or a related field from an accredited academic institution with four years of relevant professional experience OR

High school degree/certificate in the aforementioned field with six years of relevant professional experience.

EXPERIENCE

  • Excellent research, writing and organizational ability to meet deadlines and effectively multi-task
  • Field experience in the Migration or Development fields is a plus;
  • Experience in Project design and government and donor liaison is a plus

SKILLS

  • In depth knowledge of the broad range of migration related subject areas dealth with by the Organization.
  • Knowledge on UN frameworks

Languages

REQUIRED

Fluency in English is required.

ADVANTAGE

Working knowledge of IOM official languages will be an added advantage.
