Role and Responsibilities  

  1. Proper receipt  of GIK and inventories
  • Ensures all inventories and GIKs are properly received against GRN
  • Ensures that all received items and recorded in accordance with IMC recording policy and procedures
  • Ensures that all inventories and GIKs are properly dispatched to the right destination in accordance with IMC warehouse policy and procedures
  • Ensures that waybills and GRNs are properly filled and used in warehouses transactions
  • Ensures that GRNs are received by pertinent department, suppliers or procurement
  1. Proper record keeping and updating
  • Ensures that all warehouse recording documents are properly filled
  • Ensures that all warehouse recording documents are properly updated on daily basis
  • Ensures that warehouse GIK and inventory soft files are properly updated on daily basis and kept

III.           Proper internal management of warehouses

  • Ensures that all warehouses internal organization is properly done
  • Ensures that items in warehouses are classified and stored by department
  • Ensures that items are labeled vividly for easy access
  • Ensures that bin cards are separately attached to each item in the warehouse
  • Ensures that bin cards are updated
  1. Monthly physical count
  • Ensures that physical count is done on monthly basis
  • Ensures that discrepancies (shortages and overages) are  reported immediately after monthly physical count
  1. Asset management
  • Ensures that all IMC assets at field level are properly recorded and regularly updated
  • Ensures that all IMC  assets at field level are labeled and properly identified
  • Ensures that Custodian form is filled and signed for IMC assets that are assigned to users
  • Ensures that asset records are regularly updated
  • Ensures that asset physical count is properly done on quarterly basis
  • Ensures that assets that are not suitable for use are timely reported for disposal
  • Ensures that asset transfer is properly done in accordance with IMC procedures
  1. GIK management
  • Ensures that all GIK receipts and dispatches are done in accordance with IMC procedures
  • Ensures that Records are properly updated and kept
  • Ensures that expired GIKs are timely reported
  • Ensures that  expired GIKs are timely disposed

VII.         Reporting

  • Ensures that regular reports(monthly, quarterly, and annual) are prepared and sent on timely basis including signed hard copies
  • Ensures that soft and hard copies of regular reports are properly filed
  • Ensures that files of hard copies are properly classified and marked for easy access

VIII.        Warehouse related incident reporting

  • Ensures that thefts and other incidences at warehouse are timely reported by filling incident reports in collaboration with security
  • Ensures that Incident reports are properly filed
  1. Management of staff under supervision
  • Ensures that performance objective is set for staff under supervision
  • Ensures that time sheets are timely filled and submitted by staff under supervision
  • Ensures that annul leave plan and R&R are prepared and submitted
  • Ensures that annual staff performance appraisal is done and reported timely
  • Makes follow up on staff daily work activity accomplishments
  1. General responsibility
  • Accomplishes other tasks as assigned by field logistics manger
  • Cooperates with other departments and sections as desired.

Job Requirements

  • Bachelor Degree in Supply chain Management, Marketing Management or related with 5 years’ experience.
  • Evidence of practical experience in warehouse management
  • Some record of experience with donor specific procedures.
  • Good organizational and problem-solving skills, with an analytical approach
  • Good interpersonal, management and leadership skills
  • Excellent communication and customer relations skills
  • Ability to coordinate with others and work under pressure of tight and conflicting deadlines and handle concurrent activities
  • Ability to integrate and work well within multiethnic and multicultural teams
  • Willingness to make field visits as required
  • Negotiation, interpersonal and organization skills
  • Proficiency of Microsoft Office including MS Word and Excel, as well as email communications and other computer programs.
  • Professionalism, Honesty, Integrity.
