Plan International Sierra Leone is seeking to recruit top-notch professional to fulfil the position of Sponsorship Coordinator in Moyamba & Port Loko are to deliver the tasks outlined below:
Summary of the position:
To supervise, monitor and coordinate all sponsorship activities at the Program Implementation and Influencing Area.
DIMENSIONS OF THE ROLE
- Manages Sponsorship Systems (CDPet, ChildData) at PIIA level and ensures they are operational and updated regularly as and when information is received from the SSM.
- Responsible for the Management of all NOIs for the PU (All Chiefdoms) and reports on them
- Coordinates the data collection and photo taking of SCs during SC periods.
- Coordinates, prepares and reports on all Sponsor visits in the PIIA and file visit reports and photos in respective SC folders after validation by the SSM.
- Adheres to the local Sponsor visit guidelines and process and as per sponsorship manual
- Facilitates the identification of eligible children for the sponsorship program, in collaboration with the PIIAMs, GTAs and Sections involved with sponsorship program
- Responsible for tracking SC home visit reports from GTAs
- Review all cancellation memos and their replacement SCIs and submit to PUM for approval before processing in CD
- Assists the SSM in training PIIA staff annually on sponsorship procedures and policies
- Participates in budget/PO preparation meetings for Sponsorship spending.
- Organizes monthly meetings with Staff to discuss sponsorship issues
- Annually train GTAs, Volunteers on sponsorship communication activities, policies and processes.
- Facilitates the production of Program Area Overviews(PAOs), Program Area Updates(PAUs/SPAR) and Graduation/Cancellation Memo templates for Sponsor Children(G/CMSC) for review and approval by the SSM
- Manages Sponsorship Volunteer activities and ensure they are in line agreed guidelines at all times
- Ensure that all SC’s folders at the PU level are up to date with documents and kept confidentially.
- Ensures gender equality and inclusiveness of children in sponsorship activities
- Prepares weekly, monthly, quarterly and annual sponsorship reports and projections for the attention of the PUM and the Sponsorship Manager
- Designs control measures to ensure quality standards are met in all sponsorship products.
- Monitors and evaluates GTAs in the sponsorship area
- Ensures timely printing and distribution of Sponsorship Child (SC) and family photos (one per family) annually
- Ensures children 18 years and above are graduated and farewell letters prepared and sent to NOs concern on time
- 100% quality check and follow up on all cancellations submitted to the PIIA by GTAs and seek FSICs approval before processing in Child Data.
- Reviews all SCCDRs from CFs and Volunteers and validates before submission for approval by PIIA and processing in Child Data.
- Manages PIIA caseload (new and existing quota)
- Prepares production plans of Volunteers and monitor data processing for the attention of PIIA and SSM
- Attains 100% production at the end of each month
- Fulfills Plan’s Child Protection and Gender Policies by making sure all sponsorship activities, processes and documents at PU level are in line with Plan’s Child protection policy
- Performs any other duties to be assigned by the SSM or FSICs to support the achievement of organizational goals
Dealing with Problems:
- Collates and provides operational and technical support for the implementation of sponsorship projects and programs within the PIIA
- Puts in place systems to monitor and provide operation and technical soundness in the implementation of sponsorship activities in the PIIA
- Analyses issues for decision making to strengthen and support delivery of sponsorship programs that meets organizational requirements and refer to PIIA and Sponsorship Manager for approval
- Analyse data and draw reports from BI-Online to inform programme identification and designing in the PIIA
- Facilitate the development and production of SPAR, PAUs and other Sponsorship Communications products in the PIIA.
- Contribute to the development of Business cases that can improve performance on sponsorship and earn very good rating for Plan International Sierra Leone
- Lead community mobilization on What is Plan in sponsorship communities
Communications and Working Relationships:
- Works closely with PIIAM, programme staff, programme specialists and field teams
- There is a medium contact with community members, children and other stakeholders to develop and implement programs that would meet Plan Sierra Leone sponsorship program implementation.
- Maintains high contact with staff working on sponsorship program activities at PIIA level to offer support for understanding and implementation of sponsorship related activities
TECHNICAL EXPERTISE, SKILLS AND KNOWLEDGE
- Knowledge on development issues affecting children
- Expert user of Microsoft applications package (Word, Excel, internet software & PowerPoint etc)
- Have at least 2 years’ experience in community mobilization and sponsorship work
- Have at least 2 years’ experience in community development in an international NGO

Ensures that Plan International’s global policies for Child Protection (CPP) and Gender Equality and Inclusion (GEI) are fully embedded in accordance with the principles and requirements of the policy including relevant Implementation Standards and Guidelines as applicable to their area of responsibility.
