Organisational background

Action Contre la Faim (Action Against Hunger) has been conducting humanitarian programs in Somalia Since May 1992. Currently, AAH is conducting its humanitarian activities in Somalia focused on treating and preventing malnutrition, increasing access to clean water and appropriate sanitation, strengthening the food-security and the livelihoods and thus boosting the resilience of communities in Somalia as well as emergency response via program bases in Somalia.

The position and responsibilities

AAH Somalia is looking for suitable candidates for the position of Stores Officer to be based in Somalia -Mogadishu (1 Position) and Northern Somalia (1 Position). The role reports hierarchically to the field Coordinator and technically to the Stores manager

Goal:

The Stores officer is responsible for all aspects of warehouse management, reception and preparation of cargo and dispatch (food, equipment, cleaning products) and assist the Logistics Field Officer in his daily work.

The Stores Officer’s core responsibilities will include but not limited to the following:

Objective 1: Manage the storage of supplies

  • Respect AAH stock management procedures (records, filling, and identification);
  • Ensure proper identification of all arrival/departure material (quantity, quality, and delivery);
  • Ensure correct preparation of deliveries;
  • Respect AAH physical stock management requirements (organization, cleaning, ventilation) ;
  • Follow-up with special attention expiry date of drugs & food, and warns the concerned department two months before expiry date;
  • Conduct monthly stock inventory and ensure that stock cards are created, up-to-date, and accurate (having donors detail);
  • Compile monthly inventory/stock report for your superior;
  • Ensure that the stock has enough supplies to sustain the program running during a given period ( monthly or quarterly) ;
  • Place the orders for equipment and food items according to the level of stock and the monthly consumption.
  • Store the products according to their use-by date on bins (FIFO).

Objective 2: Support the order processing

  • Control the management and processing of the bases’ internal order forms (BCI);
  • Ensure updating and distribution of follow-up to orders;
  • Organize deliveries to the programmes;
  • Ensure filing of documents concerning supplies.

Objective 3: Commodity safety and hygiene of the store

  • Check daily the cleanliness of the supplies and make sure they are regularly disinfected and aired ; check the temperature and the rate of humidity ;
  • Check the state the newly inputs and treat them if necessary ; discard infected products ;
  • Separate food items from other products ;
  • Set up a protection against harmful animals and insects and apply a treatment as soon as the first signs of infection appear.
  • Ensure that the warehouse conditions are satisfactory;
  • Guarantee that the Kitlog’s storage procedures are respected.
  • Ensure the AAH stock procedures are implemented
  • Ensure the proper administration and filing for the stock

Objective 4 : Act when the Assistant Logistics Field Officer is away

  • Draw up a work plan for the general helper and casuals;
  • Delegate the activities and check that they are executed properly;
  • Replace the Assistant logistics Field Officer in his absence.

Educational & professional Background:

  • High School leaving certificate or School leaving certificate
  • At least 2 years field experience in humanitarian organization is required

Required skills:

  • Computer knowledge (Word and Excel)
  • Organizational skills
  • Good sense of communication
  • Good knowledge of English
  • Capacity for planning and organization.
  • Ability to organize and priorities workload, using initiative when appropriate
  • Interpersonal, written and verbal communication skills; problem-solving and organizational skills
  • Willingness to live and work in Somalia
  • Fluency in Somalia.
  • Good organizational skills
  • Effective organizational representation at different levels
  • Disciplined and able to work and arrive at decisions autonomously and with minimal guidance;
  • Fluent in English (professional English);

  • Strict adherence to AAH security policies and procedure. Respect for local cultural norms and traditions and ability to live in Somalia cultural environment.
