POSITION: SUPPORT SERVICE COORDINATEUR

GRADE: 13

LOCALISATION: KIFFA

Purpose of the position:

To coordinate head office administrative functions, estate management and guest relations

Major Responsibilities:(please define in output format – 1-7 things of what you expect to see as a resultof this position)

  1. Manage the WV vehicles fleet (insurance, repairs, maintenance, disposal, tax exemption…).
  2. Coordinate guest relation functions (visitor’s travel, inquires, accommodation)
  3. Facilitate repair/maintenance of estates at head office, management of contracts
  4. Facilitate the prequalification of local suppliers/services providers
  5. Ensure all procurement and services request are done through Provision
  6. Ensure that the offices and premises are in acceptable standard of cleanliness
  7. Facilitate all service providers for administrative services(security, fumigation, sanitary ware)
  8. Report on a monthly basis the state of the Base Office fleet and administration procedures and processes.
  9. Ensure that inventories are properly done
  10. Prepare and provide logistical support to meetings and workshops
  11. Provide logistical support to international and seconded staff
  12. Facilitate all internal/external mails/currier services are timely and properly handled

Other Competencies/Attributes:

  • Perform other duties as required.

Qualifications: Education/Knowledge/Technical Skills and Experience

The following may be acquired through a combination of formal or self-education, prior experience or on-the-job training:

  • Minimum Qualification required: Bachelor degree in Administration, management or related field.
  • Experience:3 years
  • Preferred: Experience 4 years in estate management
  • Technical Skills & Abilities:
  • Computer skills
  • Experience in People management
  • Knowledge of estate management and guest relations
  • Good planning and organizational skills
  • Ability to maintain effective working relationships with all levels of staff
  • Intermediary level in English and fluent in French

Working Environment / Conditions:

  • Work environment: Office-based with minimum travel to the field
  • Travel: 5% Domestic travel is required.
  • On call: 20%
