PATH has been working in South Africa for more than a decade, focused on improving health for women and children and helping those most affected by HIV and AIDS. An important new initiative is Digital Square South Africa. Managed under the global Digital Square mechanism, this initiative seeks to improve health sector performance through strengthening health information systems and data use. This Program Assistant would provide integral support for this initiative as well as PATH’s broader South Africa country program.

PATH in South Africa is currently seeking a temporary Program Assistant who will support PATH’s South Africa (SA) country program administration as well as the Digital Square South Africa Initiative. The employment duration will be 3 months and will report to the Senior Program Administrator.

Responsibilities:

 

Support for Digital Square South Africa (50%)

  • Assist with coordinating the drafting, editing and proofreading of a variety of documents including those intended for internal and external audiences, web and print communications using Word, Excel, PowerPoint and other software and database programs within the APP SA R&D team.
  • Coordinate logistics for events, high level meetings, and receptions.  Including liaising with partners, making logistical arrangements, managing RSVPs, generating meeting materials, securing internal approvals and completing all the necessary documentation.
  • Assist with processing payments, liaising with the SA PADM, PATH SA’s finance team; and tracking and providing status updates on payments. Includes gathering and inputting information.
  • Schedule team meetings and meetings with other internal and external stakeholders. Includes ensuring that teleconference, videoconference and AV technologies are set up and operational; taking notes and highlighting action items.
  • Develop and maintain systems for tracking, record keeping, electronic files and other resources. Support collection, reporting and archival of team metrics.
  • Assist with completion of administrative forms, including procurement request forms, check requests, and meal conference forms as needed.
  • Assist staff with administration of all travel arrangements such as booking flights and accommodation and completing all necessary documentation
  • Work with other Digital Square support staff as appropriate to balance department work.

Support for the South Africa Country Program (50%)

  • Enter payments in Business World (financial system) and ensure that all recurring office accounts (e.g. telephone, internet, IT and facilities) are entered and paid appropriately and timely.
  • Assist with function related to Procurement.
  • Perform initial review of procurement process and documentation before entering information in BW.
  • Function as the custodian for the office petty cash fund and prepare monthly recon thereof.
  • Assist with monitoring Vodacom contracts and issuing of devices
  • Update and maintain Fixed Assets Register and ensure that the balances match to BW.
  • Travel administration – Assist with checking RATs and ensure approvals are received before any travel bookings are made.
  • Provide logistical support to international visitors i.e. arrange travel, hotel, and ground transport bookings.
  • Coordinate internal meetings.
  • Facilitate office repairs and perform minor maintenance related to copy machines, and phone and voicemail systems.
  • Finance and Admin Support to Senior Finance Officer
  • Office Coordination and Support to SA Project Office.

Required Skills

  • Bachelor’s degree in related field.
  • Experience supporting a team.
  • 1 to 2 years of work experience in an administrative and financial assistance role in an office setting.
  • Experience with global health, and specifically digital health, preferred.
  • Demonstrated ability to execute administrative tasks with excellent attention to detail.
  • Comfortable learning new information/financial systems.
  • Ability to work effectively and with sensitivity across barriers such as language, culture and distance. Excellent listening skills and empathy.
  • Commitment to PATH’s mission, values, and principles.
  • Strong communication skills (verbal, written, and interpersonal).
  • Strong organizational skills.
  • Demonstrated ability to work collaboratively with diverse teams and interface effectively with internal and external stakeholders.
  • Excellent proofreading and editing skills.
