Program Overview:

The five-year READ II project, funded by USAID, will boost the quality of literacy instruction and student support, reaching out to children at risk of failure and dropout caused by cognitive, emotional and physical effects of hunger, violence, and displacement. READ II seeks to better equip teachers with effective early grade reading instruction techniques and materials in seven mother-tongue languages and English, while simultaneously building a culture of reading in the school, home and community.

Position Purpose:

The Training and Event Coordinator (TEC) assists the Sr. Program Manager and work will Prorgam, Operations and Finance teams to coordinate and support READ II training workshops, national events, and related meetings. The TEC will also assist in the relationship management between the project, USAID and Federal Ministry of Education.  The incumbent provides programmatic support to national and regional program staff in time management as it relates to scheduling training and workshops activities.  The incumbent is expected to work closely with technical leads, operations and finance teams to make sure that efficient and effective coordination of all training related activities are delivered to the IR teams.

Reporting & Supervision:

The Training and Event Coordinator reports to the Sr. Program Manager.

Key responsibilities:

General Program support

  • The Training and Event Coordinator is responsible and serves as a point of contact for all READ II training, workshop and event coordination, planning and scheduling.
  • The TEC is responsible for the preparation of monthly and quarterly training, workshop and event plan.
  • The TEC will be responsible to work with the technical teams to identify and invite participants for scheduled events
  • The TEC will coordinate with the relevant technical lead to draft workshop, training and event schedules
  • TEC will coordinate with the Communication Specialist to arrange for communication materials and document event proceedings
  • Coordinate the planning and implementation of trainings, workshops, review meetings and similar events including preparing budgets, ensuring the delivery of invitations, etc
  • Coordinate with training logistic officer and program/technical staffs on on-site activity preparation such as registration of participants, payment of per-diem and other onsite activity.
  • Ensure that training and participant information is collected for each event supported by READ II project and that forms are collected in an organized and consistent manner.
  • Develop, maintain and update the project tracking system for all personnel trained under READ II project; including performing light data entry into project databases. Ensure that all names of trained personnel are included in the system and that numbers are reported as necessary and when required.
  • Coordinate with the program/technical team in the management of training materials and database of, Master trainers, TOT trainers and trainees.
  • In collaboration with the technical team, assure all the scheduled trainings are being conducted in a consistent manner.
  • Keep Program/Technical staffs fully informed and updated of the planned training activity  and task implementation problems as they arise.
  • Receive, screen, log and route all training related reports, correspondence and maintain and effective follow up system.
  • Coordinate with the READ II technical team, finance and operation staff to obtain timely authorization of supporting documentation needed in support of project implementation activity.
  • Any other task requested by the supervisor.

Job Requirements

  • BA in Education and related social science fields
  • Minimum of five years of experience in training/program management support related experience or comparable position (experience in NGO work will be an advantage).
  • Experience in the planning and implementation of training and workshops including organizing logistics, preparing budgets, etc.
  • Must have strong writing and communication skills both in Amharic and English.
  • Skills and experience in computer applications and utilization of Microsoft Office (Word, Excel and PowerPoint)
  • Excellent communication and interpersonal skills to work in a multi-disciplinary team setup; and Comfortable with a team approach to programming and the ability to manage several major activities simultaneously
  • Ability to work proactively, organize and manage own work and assist others to do the same
  • Must have demonstrable personal integrity and honesty and must have pleasant personality.
