About the Job

Administrative Assistant 2 is the focal person for all ICRC /SRCS related financial accounting and administrative issues. He/she provides support to Somali Red Crescent Society (SRCS) finance and administration offices in Somalia. He/she prepares, reconciles and analyses the accounting records, financial reports and returns from SRCS finance offices in Hargeisa and Mogadishu.

He/she closely works with Finance office in Nairobi and the Cooperation field team based in Somalia.

This is resident/National position based in Nairobi, Kenya.

Duties and Responsibilities

· Receives all financial documents submitted by the SRCS finance offices in Hargeisa and Mogadishu and crosschecks documentation accordingly

· Ensures accuracy and completeness of accounting transactions in accordance with the ICRC financial procedures and confirms that all transactions have all the necessary supporting documents

· Ensures the respect of financial procedures and reporting by the SRCS concerned in accordance with International Accounting Standard as guided by the ICRC Finance & Administration manual and as per Joint ICRC-NS Finance Working Agreement

· Prepares monthly financial statistics, reports and submits to Cooperation Coordinator

· Performs regular integrity checks of accounting entries and account balances

· Provides adequate financial information to the SRCS Finance responsible and other relevant Finance Officers

· Prepares correspondence, internal presentations, meeting minutes and shares information among users

· Updates the timeline, tables and charts, schedule and other tools and follows up on invoices

· Prepares for meetings by setting up rooms and materials, including technical set up for conference calls, presentation and video conferences

· Organizes for seminars, training sessions, workshops and liaises with internal and external stakeholders

· Updates files and ensures proper filling of documents for future reference and audit purposes

· Provides support to other departments and responds to semi-routine and non-standard inquiries when need be

· Maintaining cordial relationships with the SRCS counterparts and other stakeholders

Minimum qualifications and required competencies

· Diploma in Business Management, Business Administration or any other relevant field of study

· 3 years’ experience in a similar field of activity within a Humanitarian environment

· Ability to work well independently and within a team

· Excellent numerical ability and attention to details

· Good analytical, organisational and communication skills

· Fluency in written and spoken English and Somali language

· Proficiency in MS Office suite. Advanced level Excel skills will be an added advantage

The International Committee of the Red Cross (ICRC) is a humanitarian institution based in Geneva, Switzerland and a three-time Nobel Prize Laureate. State parties (signatories) to the four Geneva Conventions of 1949 and their Additional Protocols of 1977 (Protocol I, Protocol II) and 2005 have given the ICRC a mandate to protect victims of international and internal armed conflicts. Such victims include war wounded, prisoners, refugees, civilians, and other non-combatants.

The ICRC is part of the International Red Cross and Red Crescent Movement along with the International Federation of Red Cross and Red Crescent Societies (IFRC) and 190 National Societies. It is the oldest and most honoured organization within the Movement and one of the most widely recognized organizations in the world, having won three Nobel Peace Prizes in 1917, 1944, and 1963.

The International Committee of the Red Cross (ICRC) works worldwide to provide humanitarian assistance to people affected by conflict and armed violence. We take action in response to emergencies and at the same time promote respect for international humanitarian law. We are an independent and neutral organization, and our mandate stems essentially from the Geneva Conventions of 1949. We work closely with National Red Cross and Red Crescent Societies and with their International Federation in order to ensure a concerted, rational and rapid humanitarian response to the needs of the victims of armed conflict or any other situation of internal violence. We direct and coordinate the international activities conducted in these situations.

HISTORY

Since its creation in 1863, the ICRC's sole objective has been to ensure protection and assistance for victims of armed conflict and strife. It does so through its direct action around the world, as well as by encouraging the development of international humanitarian law (IHL) and promoting respect for it by governments and all weapon bearers. Its story is about the development of humanitarian action, the Geneva Conventions and the Red Cross and Red Crescent Movement.
