Job purpose
The Human Resources and Administration Assistant is responsible for executing and tracking daily activities and routines for the proper functioning of HR and administration for the office.

Job duties and responsibilities

Human Resources Management

  • Preparation and maintenance of staff files and other HR related documents
  • Organise briefing and debriefing programmes for new and departing staff.
  • Obtaining Work permits and other documentation required for new delegates
  • Processing staff requests for submission to the Regional Office
  • Administering and tracking leave records maintenance and monthly verification
  • Provision of overall logistic support to daily HR management, including correspondences   drafting, meeting arrangement, etc.
  • Input and tracking of all transactions related to positions, recruitment, benefits, earnings/deductions, recoveries, adjustments and separations
  • Assist interview process by gathering of background information for submissions to the selection panels
  • Keeping records of internship programme and volunteer contracting
  • Administration of staff benefits and statutory requirements as per South Africa Labour Law
  • Responsible for ensuring system for Staff Security and Health are in place
  • Assist the process of knowledge building and knowledge sharing and performance

Administration

  • Maintain the archives and records of the Cluster Office including documentation management, preparation, tracking and ensuring proper filing systems are in place for the office.
  • Ensure that the office premises are adequately maintained.
  • Identify apartments for expatriates and ensure that all houses leased are equipped and properly maintained according to contract with the landlord and Federation rules.
  • Focal person for Office IT needs and administer, computer , cell phone SIM cards and Blackberries as well as office landline telephones for all authorised staff .
  • Ensure that all personnel have a well-equipped workstation and attend to any requests regarding stationery and furniture.
  • Ensure proper management of Fleet ensuring that Log Books are well maintaining and sent to Fleet Manager in Harare monthly as well as ensuring car maintenance in authorised workshops.
  • Manage in E-contract system a keeping track of expiry dates, renewals, notice periods, payments, etc.
  • Organize Office transport needs and Welcome services and work closely with Travel Service to ensure prompt and high quality service delivery.

Position Requirements
Education Requirements            

  • Relevant qualification Human Resources management .

Experience        

  • Three years or more experience in human resources management, experience working in an international organisation and dealing with national staff issues, experience in dealing with governmental and non-governmental organisations, authorities, agencies

Knowledge and Skills    

  • Proficiency in the usage of computers and office software packages (MS Word, Excel, etc.)
  • Good verbal and written communication skills
  • Good interpersonal skills, Self-Motivated, proactive with good judgement and initiative
  • Sensitivity to diversity
