African Agricultural Technology Foundation (AATF) is an international not-for-profit organisation that facilitates and promotes public/private partnerships to promote food security and enhance livelihoods of smallholder farmers in SSA. AATF works with African governments, private and public technology owners and developers, NGOs, seed companies and African smallholder farmers to identify and access technologies that address farmers’ key problems and empower them through availability of a choice of agricultural innovations that generate wealth and health for their families and communities. Role Overview:

AATF is seeking a highly motivated and committed Project Administrative Assistant to provide Programme administration role in the Rwanda Agricultural Biotechnology Programme (RABP.

As a Programme Administrative Assistant, you will provide administrative and operational support for a team that works with a multitude of partners ranging from government, private sector, donor and implementing partners.

Duties and Responsibilities

Main Duties:

  • Develop and manage RABP program operations workplan and manage all ongoing operational needs across the RABP
  • Assist in the recruitment, hiring and onboarding process for new staff members and consultants
  • Provide key support in liaising between RAB Kigali as well as AATF Corporate Services Team – finance, procurement, operations, administration and human resource teams in Nairobi, Kenya
  • Develop systems and execute tasks that ensure the operational excellence of the RABP

Office management & logistics:

  • Provide logistical support for workshops and project/field activities
  • Assist project leads in the development of logistics plans for trainings and workshops
  • Assist respective project leads in drafting and distributing letters; and seek confirmation of participation for events organized by RAB Programme Team
  • Make travel arrangements for staff traveling within and outside of Rwanda
  • Manage local travel logistics for in-coming RAB Program visitors
  • Prepare plan for program procurements including sending out request for quotation to potential vendors
  • Coordinate with landlord for repairs and maintenance around the office
  • Support processing of work permits for international staff

Recruitment Qualifications

Education:

  • Undergraduate degree in Business Administration or Commerce, Science, supply chain management, logistics or any other related and equivalent disciplines from a recognized institution of higher learning.

Experience:

  • Minimum 3 years of relevant work experience in office or project administration assistant.
  • Proven experience in areas of office and project administration,
  • Experience in event management
  • Experience in handling vendors and petty cash management
  • Excellent written and verbal communication skills.
  • High level of proficiency in Microsoft Office, particularly Excel, PowerPoint, and Word.

Language Requirements:

Fluency in written and spoken English. Working knowledge of French would be an added advantage.
