Background

horizont3000 (Austrian Organisation for Development Cooperation) is an international non-governmental organization that supports partner organizations in East Africa in the areas of natural resources, rural development, and human rights. As part of the Thrive Digitalisation Project, HORIZONT3000 is committed to enhancing digital skills among 25+ partner organizations in Uganda, Kenya, and Tanzania. This project focuses on improving the living conditions of communities through digital solutions and promoting digital transformation in NGO programming.

To support effective communication, visibility, and documentation, partner organizations have requested training in Canva, documentation techniques, and social media use. These tools are essential for creating compelling visual content, enhancing online presence, and documenting activities effectively. In response, horizont3000 seeks a qualified consultant to deliver a comprehensive online training session covering these three areas, followed by a technical support session for additional guidance.

Objective of the Consultancy

The objective of this consultancy is to equip partner organizations with practical skills in:

  • Canva for designing professional visuals for reports, presentations, and social media.
  • Effective documentation techniques for capturing, organizing, and sharing organizational activities and achievements.
  • Strategic social media use to enhance online visibility, engagement, and communication.

The consultant will deliver:

  • A 4-hour virtual training session covering Canva, documentation, and social media use.
  • A 2.5-hour follow-up session dedicated to providing technical support upon request by partner organizations.

    Scope of Work

The consultancy will involve the following activities:

  1. Preparation
  • Develop a detailed curriculum for the training session, covering;
    • Canva: Basics of graphic design, templates, branding, and content creation for reports and social media.
    • Documentation techniques: Best practices for documenting organizational work, case studies, project success stories, and events.
    • Social media use: Strategies for managing NGO social media accounts, increasing engagement, and utilizing platforms for advocacy and outreach.
  • Prepare learning materials, practical exercises, and real-life case studies to ensure the content is relevant to the needs of the participants.
  • Customize content to reflect the NGO sector and the specific challenges faced by partner organizations in East Africa.

Delivery of Online Training Sessions:

  • A 4-hour virtual session covering:
  • Canva: Introduction to Canva’s features, creating designs from templates, and customizing designs for social media, reports, and presentations.
  • Documentation techniques: Capturing and organizing data, stories, and reports for effective communication.
  • Social media use: Best practices for managing Facebook, Twitter, Instagram, and LinkedIn to engage stakeholders, donors, and the public.
  • A 2.5-hour follow-up session providing;
  • Additional guidance on Canva design strategies, troubleshooting design issues, and creating high-impact content.
  • Practical support in implementing documentation processes and social media strategies tailored to individual organizational needs.

Post-Training Support:

  • Provide additional resources, including Canva templates, guides, and best practices for documentation and social media management.
  • Offer feedback on participants’ progress and recommendations for improving design, documentation, and social media efforts.

Expected Deliverables

  • A detailed training curriculum covering Canva, documentation, and social media use.
  • Training materials, including presentations, Canva templates, and social media guides.
  • Recordings of the training and follow-up sessions (to be uploaded on MS Teams or other shared platforms).
  • A summary report for the coaching session and a final report with participant feedback, lessons learned, and recommendations for future improvements.

Duration and Timeline

The consultancy will be conducted in two phases:

  1. A 4-hours online training session on November 14, 2024.
    1. A 2.5-hours follow-up session based on requests, scheduled for late November or early December 2024.

Budget

The consultant should propose a budget that covers their fees (based on an hourly or daily rate), communication costs, taxes, and any other relevant expenses. The budget should be submitted along with the technical proposal. The total budget for the scope of work outlined under 3.a) and b) should not exceed 6,000,000 Uganda Shillings including taxes.

The post training support will be paid according to the actual coaching hours spent with partners. Thus, please indicate your hourly rate in Uganda Shillings including VAT in your financial offer. The actual number of hours needed will be determined by the demand of the partner organizations.

Required Qualifications

The consultant should meet the following qualifications:

  • Expertise in Canva, documentation, and social media strategies for NGOs.
  • Demonstrated experience in developing and delivering training on design, documentation, and social media management.
  • Experience facilitating online training and coaching for diverse audiences, particularly in the NGO or non-profit sector.
  • Strong communication skills and the ability to simplify complex concepts for non-technical audiences.
  • Familiarity with virtual training platforms, including Zoom, MS Teams, and others.
  • Fluency in English, both written and spoken.
  • Previous experience working with NGOs or similar organizations is an added advantage.
