The Job

A successful Administrative officer will act as the point of contact for all employees, providing administrative support and managing their queries. The main duties attached to this role includes managing office assets, organizing records, and preparing regular reports on administrative matters S/He will assist the Splash – Ethiopian office by Performing a wide range of administrative and office support activities for the department and/or managers and supervisors to facilitate the day-to-day efficient operation of the organization. This position is designed to support the admin, Program and M&E offices and to coordinate the different activities in the office.  S/he will collectively work in the admin office.

This position will work under the direct supervision of the Director of Finance and Operation.

 Roles and Responsibilities

  • Answer and direct phone calls and Provide information by answering questions and requests
  • Organize and schedule meetings and appointments and Maintain contact lists for the future use
  • Assist in the preparation of regularly scheduled reports
  • Order office supplies when needed
  • Provide general support to visitors and assist them in the office and provide refreshment for guest
  • Facilitate booking and hotel reservation of meetings, travels, and logistic for the team, visitors and donors
  • Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Demonstrate proper filling of incoming and outgoing letters
  • Schedule in-house and external events and demonstrate solid knowledge on office procedures Maintain computerized and manual filing systems
  • Reply to email, telephone or face to face inquiries
  • Facilitate repairs and maintenance of office equipment and furniture
  • Follow-up the office, store and restroom cleanliness
  • Manage all office purchase together with the HR and Finance offices

Qualifications

  • Degree in relevant field (e.g., Business Administration, management, office management and Business-related Fields).
  • At least 4 years of working experience and demonstrated knowledge on current trends related to NGOs work.
  • Fluent in English and Amharic
